Our client is looking for a strong Admin Assistant. This is a remote position.

Schedule:

  • Monday to Thursday - 8:45am to 5pm New York Time (8:45pm - 5am Manila Time)
  • Friday - 8:45am to 3:45pm New York Time (8:45pm - 3:45am Manila Time)

Description:

The Team Leader Assistant is a vital support role within the Provider Enrollment Team, working directly under the Provider Enrollment Team Leader. This position ensures the day-to-day administrative, technical, and operational needs of the department are met efficiently. The TLA assists with managing projects, monitoring performance metrics, and executing special initiatives that support both account coordinators and credentialing team members. This role requires strong organizational, technical, and communication skills and the ability to work proactively in a fast-paced environment.

Responsibilities:

  • Provide administrative and operational support to the Provider Enrollment Team Leader.
  • Track completion of team KPIs and assist in compiling reports and scorecards using Smartsheet and other systems.
  • Maintain department calendars, follow-up tasks, meeting schedules, and documentation repositories.
  • Support team-wide communication by preparing agendas, notes, and action items for meetings.
  • Assist in implementing special projects or departmental initiatives, as requested.
  • Support the creation and maintenance of training materials, SOPs, and internal reference documents, as requested.
  • Help monitor completion of refresher training and cross-departmental initiatives.
  • Update and maintain Smartsheet dashboards and tracking sheets.
  • Ensure accuracy and consistency of provider enrollment records, documents, and submissions.
  • Create templated reports and maintain credentialing or enrollment trackers to support strategic planning.
  • Assist with follow-ups and gathering of information for escalated client or payor issues.
  • Draft routine communication for internal and external updates, summaries, or alerts under direction reviews.

Requirements

  • 2-year college degree
  • 2 years related experience
  • Experience with Smartsheet, Outlook, and other cloud-based project management or tracking tools preferred
  • US Healthcare experience a plus but not required

Knowledge/skills/abilities:

  • Strong organizational skills with attention to detail.
  • Ability to multitask and manage shifting priorities.
  • Excellent verbal and written communication.
  • Proactive problem-solving and initiative-taking attitude.
  • Technical proficiency in Microsoft Office, Smartsheet, and Google Suite.

Measures of Success (KPIs)

  • 100% of reports and trackers are updated accurately and on time.
  • Internal tasks and follow-ups completed within 2 business days.
  • 100% of assigned project-related tasks are completed by agreed-upon deadlines.
  • Support tasks for audits, documentation, and compliance are completed with 98% accuracy.
  • Positive feedback from Team Leader and at least one successful process or project improvement implemented quarterly.
