Virtual Assistant – Sales Operations & Billing Specialist

Role Overview

We are seeking a Sales Operations & Billing Specialist to support our sales and finance functions. This role ensures data accuracy, smooth billing operations, and actionable reporting. The ideal candidate is detail-oriented, comfortable with CRMs and invoicing platforms, and eager to help streamline processes and improve performance metrics.

Key Responsibilities

  • CRM & Data Accuracy
  • Maintain up-to-date, accurate data in Pipedrive.
  • Ensure sales pipeline information is current and reliable.
  • Reporting & Analytics
  • Generate and distribute sales performance and end-of-month reports.
  • Provide visibility into KPIs for leadership and sales teams.
  • Billing & Invoice Management
  • Perform three-way match (Quote/SO PO Vendor Invoice) before billing.
  • Create and send invoices via Zoho Invoice.
  • Coordinate with AR/AP teams to track payments and resolve discrepancies.
  • Process Improvement & Support
  • Partner with leadership to identify bottlenecks and implement process improvements.
  • Assist with metrics tracking for continuous optimization.

Qualifications

  • Experience with sales operations, billing, or finance support roles.
  • Hands-on knowledge of CRM systems (Pipedrive preferred) and invoicing tools (Zoho Invoice or similar).
  • Strong organizational skills and attention to detail.
  • Excellent English communication skills (written & spoken).
  • Ability to manage multiple priorities and deadlines independently.

Preferred Skills

  • Familiarity with three-way matching and AR/AP workflows.
  • Strong Excel and reporting skills.
  • Prior experience in IT product/services sales support is a plus.

Compensation

Competitive salary based on experience (paid in PHP or USD).
