Email Support Specialist

Role Overview

We're hiring an Email Support Specialist to handle all post-LOI email communications across our acquisition pipeline. You'll ensure timely, accurate responses, maintain organized documentation, and keep trackers updated so deals move smoothly toward closing.

This role is critical to the post-LOI process. If you're detail-oriented, thrive under deadlines, and excel at structured communication, you'll be a strong fit.

A key expectation is that all emails are addressed within 3 hours during business hours.

Key Responsibilities

Email Management

  • Monitor, read, and prioritize incoming emails daily.
  • Respond to all post-term sheet-related emails within 3 hours during business hours.
  • Ensure no email remains unaddressed beyond 3 hours.
  • Organize and categorize emails with folders, tags, and labels.
  • Draft clear, accurate, and timely responses; escalate urgent matters immediately.

Auditing & Quality Control

  • Review partner communications to ensure follow-ups are not missed.
  • Keep all trackers accurate and up-to-date.
  • Follow up with buyers, brokers, or sellers when communication lapses occur.

Document Management

  • Manage deal-related attachments (legal docs, financials, etc.).
  • Maintain a structured digital filing system for all correspondence.
  • Rename and organize folders for consistency.
  • Provide daily updates on pending actions in the deal emails Slack channel.

Meeting Coordination

  • Schedule and coordinate calls (DD Calls, Weekly Cadence Calls, etc.).
  • Maintain calendars to avoid conflicts and track deadlines.

Reporting & Tracking

  • Update acquisition management trackers with information from email exchanges.
  • Track deal deadlines and log correspondence and actions.
  • Provide consistent updates in the EOD Updates Doc.
Ideal Experience
  • 1–3 years in operations, coordination, or support.
  • Strong organizational and written communication skills.
  • Proficiency with email management tools, trackers, and shared drives.
  • Ability to handle time-sensitive tasks under strict deadlines.
  • Experience in M&A, financial services, or professional services is a plus.
