Snapscale is looking for a skilled US Clinic Coordinator - Surgery Scheduler to join our team and play a key role in ensuring a seamless patient experience. If you have strong communication skills, attention to detail, and a passion for healthcare, we'd love to hear from you

Key Responsibilities

  • Coordinating and scheduling all surgical procedures for patients.
  • Collaborating closely with the current surgery scheduler (who is nearing retirement) to ensure smooth transition and knowledge transfer.
  • Managing the surgical schedule in Eyefinity (ModMed – web-based, cloud-based system).
  • Confirming surgery dates and times with patients, physicians, and surgical facilities.
  • Preparing and verifying all required paperwork, documentation, and authorizations prior to surgery.
  • Communicating with patients to provide instructions, answer questions, and ensure preparedness for surgery.
  • Coordinating with insurance providers to confirm coverage and secure necessary prior authorizations.
  • Maintaining accurate and timely records within the EMR and clinic's communication systems (Weave).
  • Supporting the surgical team with scheduling adjustments, cancellations, and rescheduling requests.
  • Acting as a liaison between patients, providers, and staff to ensure a seamless surgical experience.

Requirements

Technical Skills

  • Proficiency with Electronic Medical Records (EMR) systems; experience with Eyefinity/ModMed is a plus.
  • Familiarity with clinic communication systems (e.g., Weave) or similar.
  • Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Knowledge

  • Understanding of medical terminology, surgical procedures, and pre-/post-operative requirements.
  • Knowledge of insurance processes, including verifying coverage and obtaining prior authorizations.
  • Familiarity with HIPAA regulations and patient confidentiality standards.

Soft Skills

  • Excellent organizational and multitasking abilities to manage complex schedules.
  • Strong communication skills (both verbal and written) for patient and provider interactions.
  • High attention to detail and accuracy in handling documentation and scheduling.
  • Ability to work collaboratively with physicians, staff, and patients.
  • Problem-solving skills to handle last-minute scheduling changes or conflicts.
