The Administrative Assistant will provide all-around administrative and operational support to ensure smooth day-to-day functions of the building space leasing company. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Admin Assistant will support leasing activities, tenant relations, documentation, and office management while maintaining a professional and service-oriented approach.

Key Responsibilities

  • Manage office supplies, equipment, and general office maintenance.
  • Answer phone calls, emails, and inquiries, and direct them to the appropriate person
  • Maintain organized filing systems (physical and digital)
  • Prepare correspondence, memos, and reports as needed.
  • Assist in preparing lease agreements, contracts, and other documents.
  • Assist in supporting in tenant move-in/move-out processes (documentation, coordination with maintenance, etc.).
  • Regularly visiting company properties to coordinate with building maintenance and security teams for repairs, inspections, and upkeep.
  • Handle tenant concerns and requests, escalating to the Manager when needed.
  • Assist in compliance with permits, licenses, and regulatory requirements as needed
  • Assist in monitoring rental payments, issuing invoices, and tracking collections as needed.
  • Perform other administrative tasks as assigned by management.

Qualifications

  • Proven experience as an Administrative Assistant, Office Assistant, Customer Service Assistant or similar role.
  • Background in real estate, property management, or leasing industry preferred but not required
  • Strong organizational and multitasking skills
  • Excellent communication skills (oral and written)
  • Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with digital filing systems.
  • Ability to handle sensitive information with confidentiality.
  • Customer-oriented and able to interact professionally with tenants and vendors.
  • Willing to work Monday to Saturday, 8:00am - 5:00pm reporting to the onsite to the main office in EDSA, Mandaluyong. Note that the Admin Assistant will be regularly visiting other company properties in Mandaluyong and Makati
