Job Title: Automotive Admin Assistant

Department: Administration

Job Summary

The Automotive Admin Assistant provides administrative and clerical support to automotive operations by handling service documentation, coordinating with technicians, maintaining accurate records, and assisting in inventory and billing processes. This role ensures smooth day-to-day workflow and proper documentation of all automotive services.

Key Responsibilities

  • Prepare, process, and maintain automotive service documents such as job orders, service reports, quotations, purchase orders, RFID records, and load monitoring.
  • Coordinate with technicians regarding work schedules, job progress, and service completion status.
  • Maintain organized and accurate records of vehicle repairs, maintenance history, and service logs.
  • Assist in monitoring spare parts usage and coordinate with suppliers or the warehouse for parts availability.
  • Encode and update service-related data in company systems with accuracy and timeliness.
  • Handle basic customer coordination, including service scheduling, follow-ups, and status updates.
  • Support billing documentation and processing for completed automotive services.
  • Assist in tracking inventory of tools, spare parts, and office supplies related to automotive operations.
  • Prepare basic reports for management, including service summaries, maintenance schedules, and cost monitoring.
  • Ensure proper filing of documents and compliance with company policies and procedures.
  • Perform other clerical and administrative duties related to automotive operations as assigned.

Qualifications

  • At least college level or graduate of a business, automotive, or related course.
  • Experience in administrative work, preferably in an automotive or service-related environment, is an advantage.
  • Knowledge of basic documentation, record-keeping, and data encoding.
  • Proficient in Microsoft Office (Word, Excel).
  • Strong organizational skills and attention to detail.
  • Good communication and coordination skills.
  • Ability to multitask and work in a fast-paced environment.
