About The Role
We are seeking a proactive, detail-oriented, and experienced Short-term Rental Virtual Assistant (VA) to support the daily operations of our short-term rental properties. This role is ideal for someone with experience in administrative, customer service, or hospitality-related tasks, who can quickly adapt to the nuances of short-term rental management.
As a Short-term Rental VA, you will assist with guest communication, booking management, coordinating cleaning and maintenance, and ensuring an excellent guest experience. Your organizational skills and ability to multitask will be key to maintaining smooth operations and maximizing property occupancy and revenue.
Key Responsibilities
- Guest Communication: Respond promptly and professionally to guest inquiries, booking requests, and post-stay feedback via email, phone, or rental platform messaging systems (Airbnb, Vrbo, , etc.).
- Booking Management: Manage calendars, update availability, confirm reservations, and prevent double bookings using property management software or spreadsheets.
- Check-in/Check-out Coordination: Provide guests with check-in/check-out instructions, coordinate key exchanges or smart lock access, and ensure smooth guest arrival and departure.
- Cleaning & Maintenance Scheduling: Coordinate with cleaning and maintenance teams or service providers to schedule turnovers and urgent repairs. Ensure properties are clean and well-maintained between stays.
- Listing Management: Assist in creating and updating property listings, including descriptions, photos, and pricing to optimize visibility and attract bookings.
- Problem Resolution: Handle guest issues or complaints efficiently and escalate when necessary to ensure guest satisfaction and positive reviews.
- Reporting: Maintain records of bookings, expenses, guest reviews, and other operational data. Provide regular updates and performance reports to the property manager or owner.
- Market Research: Monitor competitor listings, pricing trends, and guest preferences to suggest improvements and promotional opportunities.
- Administrative Support: Manage emails, invoices, receipts, and other documentation related to rental operations.
- Proven experience in virtual assistance, customer service, hospitality, property management, or related fields.
- Familiarity with short-term rental platforms (Airbnb, Vrbo, ) and/or property management software (e.g., Guesty, Lodgify) is a plus.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High attention to detail and problem-solving mindset.
- Ability to work independently and manage time effectively.
- Proficient in Microsoft Office Suite (Excel, Word) and Google Workspace (Sheets, Docs).
- Basic knowledge of pricing strategies and market research is an advantage.
- Customer-focused with a friendly and professional demeanor.
- Reliable internet connection and a suitable home office setup.
- Experience with social media marketing or online advertising.
- Basic graphic design skills for listing enhancements.
- Knowledge of local regulations and compliance related to short-term rentals.
