Job Summary
An Administration and Customer Service Specialist under Research and Setup is the first-hand support of the operations team. They prepare a comparison of fees of different investment options based on the Product Disclosure Statement. They oversee the daily monitoring of new research and ensure that the tracker is updated accordingly. Coordinate internally and externally to obtain documents needed to prepare relevant Research and Estimation and collaborate with internal teams to ensure corresponding task delegation for client setups.
Responsibilities
Research
- Ensures that the research tracker is updated accordingly and daily monitoring of the Pipedrive for new research.
- Analyze and validate all the documents needed for Research & Setup, not limited to:
- Complete the research review script and estimation.
- Dive through the super website and get relevant information and documentation.
- Correspond with super via chat support to obtain all verified documents needed.
- Monitor new clients and update their TFNs.
- Initiates Research, including liaising with referral partners for any missing/ additional information and certification.
- Collating files of all resources gathered in the designated client folder.
- Upload the completed research to Pipedrive.
Manage Wind-up and Rollout clients, not limited to:
Preparation and monitoring of wind-up clients and payments to send out necessary documents.
Coordinate and update clients regarding wind-up completion.
Preparation & Setup & Tax
Prepare and accomplish client setup through and through, not limited to:
- Prepare client's forms on Pipedrive and create the client summary.
- Update the client summary and add information when needed for the NowInfinity draft.
- Validate the superfund name on Superfund lookup and ASIC website.
- Create a NowInfinity draft for the validated client and fill out the remaining documents needed.
- Monitor and validate posted payments in Macquarie and other platforms.
- Bank reconciliation in Xero not limited to reconciling setup fees, catch-up fees, and OMF daily.
- Analyze transactions to match client and invoice or create invoices when not available.
- Create and validate invoice details in Xero as a necessary document for the setup or when needed.
- Prepare and send out forms for SMSF & Bare trust.
- Fill out all the necessary forms and documents for client setup.
- File and update the client's folder with necessary documentation.

Preferred Qualifications
- Bachelor's degree in Accounting, Finance, or a related field.
- Fresh graduates are encouraged for the position.
- Could consider those with a background in the same or related industry.
- Knowledge of the Xero software is an advantage.
- Background experience with ATO & SMSF is an advantage.
