Location: Remote

Rate: 720 AUD/mo (paid bi-monthly)

Overview:

We are seeking a highly organized and detail-oriented Virtual Assistant to support our team with daily administrative tasks. The ideal candidate should have strong communication skills, proficiency in Google Sheets, and the ability to manage repetitive tasks efficiently. This role involves handling tax invoices, maintaining client records, and ensuring smooth coordination between clients, brokers, and lenders.

Key Responsibilities:

  • Manage and send tax invoices to clients using specific lender templates.
  • Save tax invoices, receipts, and payment records in client folders for future reference.
  • Maintain and update business tracking documents with payment receipts and tax invoices.
  • Send payment receipts to clients with standard email templates.
  • Follow up with clients' brokers for updates on invoice payments.
  • Update the 'Submitted Deals Tracking Pipeline Stage' in the business tracking document.
  • Create and organize client folders in the shared drive using folder templates.
  • Identify and merge duplicate contacts in the CRM.
  • Request ACC letters from lenders or brokers to facilitate timely construction starts.

Qualifications:

  • Strong communication skills, particularly via email.
  • Excellent English proficiency (spelling, grammar, and punctuation).
  • High level of proficiency with Google Sheets and other administrative tools.
  • Highly organized with strong attention to detail.
  • Ability to manage repetitive administrative tasks efficiently.
  • Self-motivated and able to work independently with minimal supervision.
