Duties and Responsibilities:

· Administrative Support

o   Manage and optimize the executive's calendar, including scheduling meetings, calls, and travel

o   Screen and prioritize emails, calls, and meeting requests

o   Prepare briefing materials, agendas, and notes for meetings

o   Draft and proofread correspondence, reports, presentations, and other documents

· Meeting & Communication Coordination

o   Coordinate internal and external meetings, including suppliers and other third parties, agendas, and follow-ups

o   Act as a liaison between the executive and internal/external stakeholders

o   Ensure timely communication and follow-up on delegated tasks and priorities

· Project Management

o   Assist with planning and execution of special projects, events, and initiatives

o   Track key deliverables and timelines across departments

o   Conduct research, compile data, and prepare executive summaries

· Confidentiality & Professionalism

o   Maintain confidentiality with sensitive information and documents

o   Represent the executive with professionalism and integrity.

· Assists in government liaison and coordination for determining, and securing requirements for permits and licenses

· Preparation of Secretary's Certificate, Board Resolutions, Notices and Minutes of meetings of stockholder and directors.

· Incorporation of new companies, and amendments to existing company registrations and ownership structures across all government agencies, including, but not limited to, the Securities and Exchange Commission (SEC), the Bureau of Internal Revenue (BIR), and the Department of Trade and Industry (DTI).

· Oversee and monitor liquidation, requests for payments, cash advances, and revolving fund across all subdivisions within the business unit.

· Perform other duties that may be assigned from time to time.

Qualifications

· Proven experience as an executive assistant or in a similar administrative role (3+ years preferred)

· Exceptional organizational and time management skills

· Strong written and verbal communication abilities

· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and collaboration tools (e.g., Google Workspace, Zoom,)

· Ability to work independently and handle multiple priorities

· Discretion and sound judgment in handling confidential information

· Bachelor's degree preferred, but not required
