Job Summary: This position is responsible for assisting with the day-to-day operations of the Legal & NDM Department, providing professional administrative and clerical services to ensure the effective and efficient operation of the department.

Key Duties and Responsibilities:

Legal Department

  • Maintains, updates, and administers contract documents in accordance with company policies and regulations.
  • Verifies the completeness of all required documents in contract files.
  • Monitors contract obligations and ensures compliance with relevant procedures and deadlines.
  • Tracks contract statuses and validity dates.
  • Maintains organized records to ensure compliance with reporting and regulatory requirements.
  • Organizes and maintains an effective filing system and database; answers official phone calls.
  • Handles the transmittal of documents to concerned offices.
  • Performs other duties as assigned.

National Division Manager (NDM) Department

  • Performs daily administrative and general office duties such as word processing, filing, copying, and data entry.
  • Manages phone calls, walk-in visitors, personnel inquiries, and instructions from NDMs.
  • Arranges travel and accommodations for NDMs
  • Coordinates and schedules meetings and appointments; prepares necessary materials.
  • Manages incoming and outgoing business mail.
  • Maintains a logbook and an organized record of communications, documents, and files.
  • Oversees both digital and physical filing systems for NDM-related records.
  • Coordinates office equipment repairs for the NDM team.
  • Requests and monitors office supplies.
  • Performs other duties as assigned.

Qualifications:

  • Must be a Bachelor's Degree holder in any course; Business-related, Public Administration, or any other related course is preferred.
  • Newly graduated individuals are highly encouraged to apply since this position is an entry-level role. With a background or exposure to admin tasks is an advantage.

  • Someone willing to work onsite. The office is located at BTTC Centre, Greenhills, San Juan City.
