Job Summary:
The Store Secretary is responsible for providing administrative support to the branch by handling documentation, reporting, coordination of daily operations, and ensuring proper processing of HR, finance, and compliance requirements. This role acts as a support system to various departments such as HR, Accounting, and Logistics, especially during staff absences or peak periods.
Job Responsibilities:
- Monitor and report staff house-related concerns
- Endorse branch feedback and concerns to relevant departments (HR, Facilities, Accounting, etc.)
- Monitor store operations issues and forward to appropriate teams
- Prepare and submit daily and monthly expense reports
- Process biometric timekeeping and attendance for branch employees, tenants, and consignors
- Handle POS-related transactions and ensure accuracy of reports
- Process branch procurement and supply requests
- Process monthly utility bills, store rental, and government contributions (e.g., SSS, PhilHealth, Pag-IBIG)
- Manage performance evaluation forms and reminders
- Organize and file government compliance documents (e.g., permits, inspection logs)
- Maintain and inventory office equipment, lost-and-found items, and act as audit rack custodian
- Release approved compensation and benefits (in coordination with HR/Payroll)
- Act as reliever for HRA, Accounting, or Logistics when needed
- Perform other administrative tasks as assigned by management
Job Qualifications:
- Graduate of any 4-year course (preferably in Business Administration, Office Management, HR, or Accounting)
- At least 1 year of work experience in clerical, HR, accounting, or retail operations preferred
- Fresh graduates with internship/OJT experience in administrative tasks may be considered
- Proficient in Microsoft Excel, Word, and email tools
- Basic knowledge of filing systems, timekeeping, and report generation
- Familiarity with POS systems, HR forms, and compliance documents is a plus
