Role Description

This is a full-time remote role for an Executive Office Assistant. The Executive Office Assistant will handle administrative tasks, manage communication, maintain office equipment, and perform clerical duties. Day-to-day responsibilities include answering phone calls with proper etiquette, scheduling meetings, organizing files, and providing support to the executive team.

Qualifications

  • Strong Phone Etiquette and Communication skills
  • Proficiency in Administrative Assistance and Clerical skills
  • Familiarity with Office Equipment and basic IT tools
  • Excellent organizational and multitasking abilities
  • Ability to work independently and remotely
  • Previous experience in a similar role is a plus
  • Diploma or equivalent, with additional qualifications as an Executive Assistant or Secretary being advantageous

Job Responsibilities: Executive Assistant to Management

Calendar Management:

  • Schedule and coordinate appointments, meetings, and events for executive management.
  • Ensure optimal time management and prioritize schedules effectively.

Communication Handling:

  • Screen and respond to emails, phone calls, and correspondence on behalf of executives.
  • Draft, review, and send professional communications as needed.

Travel Arrangements:

  • Organize travel itineraries, including flights, accommodations, transportation, and related logistics.
  • Prepare travel documentation and ensure timely execution.

Meeting Preparation:

  • Prepare agendas, presentations, reports, and other materials for meetings.
  • Take minutes and follow up on action items post-meetings.

Administrative Support:

  • Maintain and organize files, records, and confidential documents.
  • Manage office supplies and equipment as needed.

Project Assistance:

  • Support management with special projects, research, and data analysis.
  • Track project deadlines and deliverables.

Relationship Management:

  • Liaise with clients, partners, and internal teams to facilitate smooth communication and operations.
  • Build and maintain professional relationships.

Reporting and Documentation:

  • Prepare reports, summaries, and presentations for management review.
  • Assist in compiling and analyzing data for decision-making.

Miscellaneous Tasks:

  • Perform other duties as assigned to support executive team efficiency and effectiveness.
