Job Summary

The Supply Chain Assistant will be responsible for processing different Supply Chain Management functions such as Supply Management, Procurement, Receiving, and Data Analytics.

Duties and Responsibilities

Supply Management

Regularly monitors and checks stocks the level of stocks in Dygen Pharma warehouse;

Establishes forecast method to ensure all stocks are within the desired quantity to immediately supply the customers;

Immediate reports any unusual stocks depletion to ensure immediate replenishment;

Coordinates and reports to Operations Supervisor & Business Manager the forecasted goods replenishment for approval;

Monitors expiring stocks and facilitate pull-out from the system;

Generates inventory report on a daily, weekly, monthly basis, and submits to the principals' authorized representatives;

Facilitates stock reconciliation as scheduled; (Principals, Finance)

Performs necessary minimal adjustment on system inventory as instructed by Dygen Pharma Business Manager and coordinates major adjustments to stock inventories to DDC Finance Department.

Encodes data for adjustment due to returns;

Monitors stocks level per item of assigned principal supplier and place order as needed;

Analyse the products that need immediate replenishment to ensure the availability;

Executes the processing of Purchase Orders per principal and per distributor based on weekly or monthly requirements;

Regularly monitors and checks the prices, discounts, and other related info of each item of assigned principal prior to PO;

Regularly coordinates with Business Manager and Operations Supervisor for any request of District Sales Manager of priority POs of principal products;

Coordinates with the supplier the approved POs;

Prepares / reviews purchases requisitions and orders for accuracy and ensures compliance with company's policies and procedures;

Prepares and maintains purchasing records, reports, and price list;

Regularly checks with Returns and Receiving Staff for any discrepancies in PO vs. Invoice received;

Maintains relationships with existing suppliers and sourcing new suppliers for future products;

Procurement

Ensures all receiving documents and delivery receipts are properly filed;

Business Unit Supply Chain Management

Regularly monitors and checks stocks the level of stocks in all Dygen Pharma Business Unit Operations;

Establishes forecast method to ensure all stocks are within the desired quantity to immediately supply all Dygen Pharma Business Unit customers;

Others

Supports the Dygen Pharma Business Manager in developing programs, policies and procedures relative to the improvement of the Department and its services;

Abides by the company rules and regulations implemented with regards to policies and procedures, Safety and Health, Quality Management, and in the Employee's Handbook; and

Performs other duties that may be assigned by the Dygen Pharma Business Manager.

Educational Requirements

A graduate of Supply Management, Information Technology, or related course

Competency

Experience in Data Analytics and/or Supply Management

Essentials

Interpersonal skill, social perceptiveness, patience, and self-confidence

Communication skill: verbal, written, and active listening
