About the Role

We are seeking a highly organized and proactive Leasing and Property Management Assistant to support our client's Property Management Department. In this role, you will assist with leasing activities, property administration, and client communication to ensure the smooth and efficient management of the rental portfolio.

This position plays a key part in delivering exceptional customer service, maintaining compliance, and supporting Property Managers with critical day-to-day tasks. Key Responsibilities

Leasing Coordination

  • Process rental applications and renter transfers as directed by Property Managers.
  • Prepare and update property advertisements on listing platforms such as IRE and PME, ensuring accuracy and adherence to provided scripts.
  • Prepare and issue rental agreements, move-in documentation, and required tenancy forms.
  • Arrange move-in packs and coordinate the signing of all tenancy-related documents.

Administrative & Compliance Support

  • Audit property files and maintain accurate digital records according to company procedures.
  • Assist with maintenance coordination and follow-ups on behalf of Property Managers.
  • Type and prepare condition reports, letters, notices, and other tenancy documentation.
  • Create and maintain spreadsheets, trackers, and administrative documents to support departmental efficiency.
  • Upload and verify key information in IRE and PME, ensuring keys, entry notes, and advertising details are correct.
  • Enter invoices into systems as required.

Client Service & Team Support

  • Respond promptly and professionally to internal and external inquiries.
  • Maintain excellent customer service standards and uphold company values in all communications with renters and rental providers.
  • Provide general administrative support to Property Managers and the broader Property Management team.
  • Perform other reasonable duties as assigned by the Department Manager or Office Manager.

Other Responsibilities

  • Identify and propose process improvements that support operational efficiency.
  • Contribute to team goals by completing related tasks as needed.
  • Perform other duties assigned by the client as the role evolves.

About You

  • 2–3 years of experience in compliance monitoring, leasing administration, or a similar property management role.
  • Strong attention to detail and accuracy in documentation and data entry.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize and manage multiple tasks while maintaining quality and efficiency.
  • Understanding of property management processes and legislation
  • Professional, proactive, and collaborative attitude.
  • Proficiency with Microsoft Office and experience using property management software such as PropertyMe, IRE, and PME (advantageous).
