We are now hiring a Sales Support Specialist with real experience in the promotional products industry. If you have not worked in promo, this role will not be a fit.

This is a high-trust, high-responsibility role. When done well, it becomes the operational backbone of our entire sales organization.

The Role

This is not basic admin work.

This is operational sales execution inside the promo world.

You will support our Account Managers by building quotes, sourcing products, working with suppliers and decorators, managing proofs, tracking production timelines, entering orders in Business Central, and making sure every detail is accurate.

Your job is simple. Nothing slips.

If you are comfortable juggling suppliers, decoration methods, lead times, freight, proofs, and client expectations, you will thrive here.

What You Will Do

Own the Quote-to-Order Process

  • Build accurate quotes using supplier pricing

  • Source products through ASI, our website, and supplier websites

  • Confirm stock, lead times, production timelines, and decoration methods

  • Negotiate pricing to improve margins when possible

  • Recommend better product options or cost-saving alternatives

  • Create simple quote presentations in Canva if needed (a plus)

Run Orders with Precision

  • Enter all orders in our ERP before the end of the day

  • Track order status from proof to production to shipment

  • Follow up with vendors and decorators every day

  • Identify risks early and resolve them quickly

  • Keep Account Managers and clients informed throughout the entire process

Be the Link Between Sales, Vendors, and Operations

  • Coordinate details so everyone stays aligned

  • Ensure clean handoffs with Design and Order Entry

  • Gather missing information without waiting for direction

  • Close loops quickly so nothing lingers

Protect the Client Experience

  • Communicate clearly and confidently

  • Write clean, polished emails

  • Represent HealthMerch professionally on calls or email when needed

  • Provide service where clients feel supported and taken care of

Bring Insight and Initiative

  • Suggest product ideas based on trends

  • Help the team price competitively and strategically

  • Spot recurring issues and recommend improvements

  • Strengthen templates, checklists, and workflows

A Typical Day

  • Reviewing new quote requests

  • Sourcing products and verifying pricing

  • Building accurate quotes with strong margins

  • Entering orders in our ERP before the end of the day

  • Tracking proofs, production, and shipments

  • Updating Account Managers on any movement

  • Catching issues early and solving them

  • Ending the day with everything clean and organized

Who You Are

  • You have worked in the promotional products industry

  • You understand suppliers, decorators, proofs, lead times, and freight

  • You are detail oriented and accuracy is your default

  • You stay calm and organized when things get busy

  • You communicate clearly and professionally

  • You are proactive and anticipate what is needed

  • You are comfortable speaking up when something is off

  • You are reliable and you finish what you start

  • You care about improving every month

This role is not for someone who:

  • Has never worked in promotional products

  • Needs constant direction

  • Gets overwhelmed easily

  • Struggles with accuracy

Required Experience

You must have:

  • 2 to 3 or more years in the promotional products industry

  • Experience managing order flow from quote to delivery

  • Familiarity with suppliers, decorators, proofs, and logistics

  • Experience with tools such as:

  • ASI, Sage, or ESP
  • Commonsku, Syncore, or a similar platform
  • Google Sheets or Excel
  • Slack
  • Canva (optional but helpful)

Strong bonus if you have used:

  • Business Central

  • Antera

  • OrderMyGear

  • Any ERP connected to the promo world
