Overview
We're looking for a Client Coordinator / Admin Support VA to support client communication, project coordination, and administrative operations for our construction and design business. You'll manage leads, organize project documentation, and ensure smooth coordination between clients, suppliers, and the internal team — with a touch of creativity through light social media management.
Key Responsibilities
- Manage and follow up on client leads, website inquiries, and quotes.
- Organize and maintain client documentation and project records in AroFlo.
- Coordinate supplier communication, contracts, and approvals.
- Handle client invoicing and data entry using Xero.
- Conduct client follow-ups post-project to gather feedback and maintain relationships.
- Create simple social media posts using Canva and Gemini to support brand visibility.
- Provide general admin and coordination support to management.
Qualifications
- Excellent English communication skills — clear, confident, and professional.
- Experience in admin, client coordination, or project support roles.
- Familiarity with AroFlo and Xero, or similar tools.
- Organized, detail-oriented, and proactive with strong multitasking ability.
- Basic skills in Canva and Gemini for content creation.
