Who we're looking for:

We're seeking a proactive and detail-oriented Systems Document Controller that is responsible for maintaining and organising critical company documents, ensuring their accuracy, quality, and integrity. The role involves safeguarding sensitive information and optimising data retrieval processes to improve efficiency. You will work closely with cross-functional teams to ensure seamless access to documents and strict adherence to document life-cycle procedures.

Key Responsibilities:

SharePoint Management

  • Administer all aspects of document control, including filing, scanning, indexing, storing, retrieving, archiving, and destroying documents.
  • Ensure accuracy and compliance of documents with company standards and regulatory requirements.
  • Review documents before they are released to ensure compliance and ensure that company policies and regulations regarding document control are being met.
  • Review, approve, and reject documents based on content, format, and adherence to company guidelines.
  • Coordinate change control processes to track revisions, updates, and approvals of compliance across the company.
  • Maintain document lifecycle processes within the Business Process Mapping software.
  • Safeguard sensitive information and ensure compliance with retention policies.
  • Maintain confidentiality regarding sensitive documents.
  • Create and maintain electronic forms to support consistent data capture and streamline document-related workflows.

Support

  • Maintain and manage document control systems, including electronic files
  • Ensure proper organization, security, and confidentiality of sensitive documentation
  • Collaborate with stakeholders to address document control needs.
  • Assisting BMS team members in specific projects and tasks as directed.
  • Completion of key system tasks as directed.

What You'll Bring:

  • Bachelor's degree in business administration or any relevant course
  • At least 3 years' experience working as a document controller, or similar.
  • Excellent communication skills (English)
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Experience in maintaining company documentation to ISO and legislative requirements.
  • Construction industry experience is highly desirable.
