We're Looking For:

The Logistics Officer/Senior Logistics Officer plays a vital role in ensuring that customer needs are met while efficiently managing the logistics processes.

The Logistics Officer/Senior Logistics Officer is responsible for overseeing and coordinating the storage, transportation, and distribution of goods within the organization. To ensure customer satisfaction, the role will ensure timely delivery of products, managing inventory levels, and optimizing logistics processes.

Job Description:

Importation/ Incoming Shipment Scheduling

• Responsible on import licenses application, on time renewal of BOC and BIR, and other local laws permits with regards to warehouse and logistics department.
• Coordination and handling of export/ Import as well as fulfillment of license conditions.
• Coordination and alignment with sales on forecast and processing of P/O to external suppliers.
• Ensure efficiency and accuracy of documentation
• Ensure compliance of brokers for proper documentations
• Coordinates and monitors daily shipment status until confirmed delivered.(Actual Time of Arrival, Actual Time of Berthing, Actual Time of Discharging, Terminal Booking (TABS), Container Return)
• Prepares and ensures timely releasing of import documents to customs brokers.

Inventory Management:

• Maintain accurate inventory records and manage stock levels to prevent shortages or excess
• Conduct regular inventory audits and reconcile discrepancies
• Manage pro-actively stocks to minimize risk of obsolescence

Order and Delivery Management

• Responsible for reviewing, preparing, and routing purchase orders at an agreed service level of agreement
• Responsible for negotiating price and specific services w/ logistics suppliers and ensure cost efficient distribution
• Timely pick-up and on time shipment/delivery of goods to customers
• Update, monitor shipments and report discrepancies, deviations and changes
• Ensure complete and correct information on documents to process such as invoice, packing list, BL, Insurance and Form D

Customer Service

• Respond to Inquiries: Address customer questions and concerns regarding products, services, and order status.
• Order Processing: Manage and process customer orders, ensuring accuracy and timeliness.
• Issue Resolution: Handle complaints and resolve issues related to delivery, product quality, or service.
• Customer Communication: Maintain regular communication with customers about order updates, shipping details, and other relevant information.

Cost Management

• Analyze logistics costs and implement strategies to reduce expenses while maintaining service quality.
• Liaise with Finance Department to prepare and monitor budgets and forecasts relating to logistics operations

Problem Solving

• Address and resolve logistical challenges, such as delivery delays, inventory shortages, or transportation issues
• Develop contingency plans to mitigate risks in the logistics process

Documentation and Compliance

• Prepare and maintain logistics-related documentation, including shipping manifests, invoices, and customs paperwork.
• Ensure compliance with local and international shipping regulations and standards.

Performance Tracking

• Monitor key performance indicators (KPIs) related to logistics operations and report on performance metrics
• Identify opportunities for process improvements and implement best practices
• Prepare regular reports on logistics performance, including inventory levels, procurement costs, and logistics efficiency.

Qualifications:

• Bachelor's degree in Business Administration, Operations Management, Logistics, or a related field.
• Proven experience in logistics, supply chain, and customer service roles
• Familiarity with shipping methods, regulations, and documentation.
• Excellent communication and interpersonal skills
• Strong organizational and planning skills and attention to detail
• Proficient in Microsoft Office (Excel, Word, PowerPoint)
