Overview

We're looking for an operations professional who can keep things running smoothly across multiple areas — compliance, administration, team coordination, and vendor relations. This role will collaborate closely with our executive team in Australia to ensure our Philippine operations remain efficient, compliant, and well-aligned with company objectives.

You'll serve as the key local contact for daily operations, helping bridge communication between teams and maintaining strong cross-border collaboration.

Main Responsibilities

Operations & Administration

  • Oversee day-to-day administrative and operational functions for the Philippines team (currently fully remote)
  • Manage relationships with vendors and service providers such as HR consultants, legal partners, payroll processors, and government offices
  • Ensure that systems, tools, and equipment are properly maintained and accessible to the team

Compliance & Governance

  • Ensure all local operations comply with Philippine labor regulations and company policies
  • Coordinate with legal, accounting, and HR advisors for registrations, audits, and compliance requirements
  • Keep internal records, documentation, and contracts organized and up to date

People & Culture

  • Support recruitment, onboarding, and offboarding processes for team members in the Philippines
  • Help foster a positive and engaging team culture by coordinating training sessions, engagement initiatives, and development programs
  • Address initial HR-related concerns and promote open communication within the team

Executive & Operational Support

  • Serve as a communication link between the Philippine operations and the Australian leadership team
  • Provide administrative and operational support to company leaders, including reporting, coordination, and follow-ups
  • Identify opportunities for process improvement to increase efficiency and team productivity

Qualifications

  • At least 3 years of experience in operations, administration, or HR within a Philippine-based BPO, tech, or remote-first organization
  • Strong understanding of Philippine employment regulations and compliance processes
  • Excellent written and verbal communication skills
  • Proven experience managing third-party vendors and partners
  • Highly organized, reliable, and able to manage multiple priorities independently
  • Experience collaborating with Australian clients or companies
  • Familiarity with remote or hybrid work environments
  • Background in recruitment, employee engagement, or culture development
  • Hands-on experience with payroll, HR, vendor coordination, and compliance tasks
  • Comfortable working in a lean, fast-moving setup and taking initiative when needed
