Job Summary:

Provide assistance to the AFM Head, AFM Supervisor and Design & Project Officer in all aspects of administration and facilities for head office and branches.

Responsibilities:

  • Assess requests with requisitioners based on existing policies.
  • Assign validated requests to the appropriate third-party service providers for house maintenance.
  • Update requisitioners on request status until fully completed.
  • Log, report, and monitor all assigned maintenance tasks.
  • Review documents and perform due diligence for new vendor accreditation.
  • Endorse reviewed cost proposals and comparisons for purchases and services.
  • Ensure all purchase orders, billing, and related documents are complete before endorsement.
  • Prepare a weekly report on purchasing activities and services rendered.
  • Monitor vendor performance using scorecards and report findings to supervisors.
  • Maintain transaction records to support task reporting (e.g., aircon maintenance, security, courier).
  • Ensure tasks are completed timely, cost-efficiently, and in the company's best interest.
  • Follow AFM guidelines and document any approved enhancements.
  • Assist in sourcing local service providers and compile recommendations for the AFM Head.
  • Perform other delegated tasks as needed.

Qualifications:

  • Bachelor's degree in Business Management, Operations Management, Office Administration or equivalent
  • With at least 1 year relevant experience
  • Customer-service orientation
  • Keen to details and adept in reporting
  • Good communication and coordination skills
  • Preferably has driving & "handyman" (electrical, plumbing, car maintenance) skills
