Purpose
Provides assistance to the Facilities Manager, including accurate and timely processingof invoicing, communication with internal and external stakeholders, submitting and follow up on work orders.

Tasks & Responsibilities
✓ Maintenance and Repairs

✓ Oversee and coordinate routine maintenance and ensuring timely completion of reactive works

✓ Coordinate with staff, vendors and contractors to address issues

✓ Receive manage and prioritize work orders, ensuring timely completion and follow-up

✓ Administration

  • Daily processing of invoices
  • Monthly Invoice reconciliation
  • Follow up of late invoices to ensure processing within the accounting period is achieved
  • Compilation of energy usage across the facilities

✓ Safety Compliance

  • Review and Filing of compliance documentation in line with Australian standards
  • Analysis of completion to identify short falls / risk to the business.
  • Coordinate required training with sites in conjunction with relevant companies.

✓ Financial controls

  • Release work orders in line with financial limits
  • Approval of minor spend as required to ensure timely completion of works
  • Quote compilation and data entry for FM review

  • Store, DC and Regional managers
