Job Summary:

We are seeking a Senior Payroll Processing & Accounts Payable Contractor to support our three hospitality and wine companies remotely from the Philippines. This role serves as an accounting partner to the CFO and Accounting Manager, managing multi-entity payroll processing, accounts payable oversight, and reconciliation activities for a growing organization that includes winery, hotel, and restaurant operations in Temecula, California.

This is an excellent opportunity for an experienced accounting professional familiar with U.S. payroll and accounting systems who thrives in an independent, detail-oriented remote work environment.

Compensation:

• Hourly Rate: USD $6.00–$8.00 per hour (PHP 350–470/hour) depending on experience and skill level.
• Paid twice per month, within 15 days of invoice submission.
• Contractor is responsible for all applicable taxes, contributions, and registrations in the Philippines.

Scope of Work:

1. Payroll Accounting & Processing

• Prepare biweekly payroll batches for multiple U.S. entities using ADP Workforce Now (or equivalent system).
• Reconcile payroll registers, deductions, and taxes prior to submission.
• Review and validate timecards, PTO, overtime, and commissions.
• Process payroll adjustments related to new hires, terminations, and final pay.
• Reconcile payroll-related balance sheet accounts monthly.
• Maintain organized payroll records and respond to payroll inquiries.
• Support payroll year-end activities including W-2 reconciliations.

2. Accounts Payable & Vendor Reconciliation

• Receive, review, and code vendor invoices through the A/P automation platform (Quadient Beanworks or equivalent).
• Post approved invoices to QuickBooks Online or other Company systems.
• Coordinate payment runs and resolve vendor discrepancies.
• Perform monthly A/P and vendor statement reconciliations.
• Maintain digital archives of all invoices and payments.

3. Accounting Support & Reporting

• Prepare monthly payroll and A/P reconciliation summaries.
• Support general ledger accuracy and intercompany allocations.
• Assist with month-end close and reporting to CFO.
• Perform ad hoc data processing or accounting analysis projects as assigned.

Deliverables & Timelines:

• Payroll: Submit biweekly payroll files 2 business days prior to scheduled pay date.
• A/P: Process invoices within 3 business days of receipt.
• Reconciliations: Deliver month-end summaries within 5 business days of close.
• Status Report: Include monthly summary of tasks completed with each invoice.

• ADP Workforce Now
• QuickBooks Online
• Quadient Beanworks (A/P automation)
• Microsoft Excel, Teams, and SharePoint

Experience & Skills Required:

• Minimum 5+ years of accounting or payroll experience, with at least 2 years in a senior-level capacity.
• Experience with U.S. payroll systems and accounting standards preferred.
• Advanced Excel and reconciliation skills.
• Strong analytical and problem-solving abilities.
• Excellent English communication skills (written and spoken).
• Ability to work independently and manage deliverables with minimal supervision.
• Degree in Accounting, Finance, or related field preferred.

Reporting & Communication:

• Reports directly to the CFO and Accounting Manager.
• Communication via Microsoft Teams, Zoom, and email.

Performance Expectations:

• Maintain accuracy, confidentiality, and timeliness standards.
• Adhere to U.S. payroll compliance and data privacy requirements.
• Deliver reconciled, audit-ready financial data and reports.

Pay: Php Php470.00 per hour
