The Payroll Associate is responsible for ensuring accurate and timely processing of payroll for Smart Outsourcing Solution (SOS) employees and its client accounts. This role supports end-to-end payroll operations — from attendance validation and salary computation to government remittances and payslip generation.

The ideal candidate is detail-oriented, highly organized, and familiar with Philippine labor and tax regulations. Experience in HRIS systems such as Sprout, QuickBooks Payroll, or similar tools is an advantage.

Key Responsibilities:

Payroll Processing

  • Accurately process monthly payroll for internal staff and EOR client employees.
  • Validate timesheets, attendance, leave, and overtime reports from HRIS.
  • Compute salaries, adjustments, bonuses, and final pay in accordance with company policies and DOLE standards.
  • Generate and distribute payslips to employees within established timelines.
  • Prepare payroll summaries and reports for management and accounting purposes.

Government Contributions & Compliance

  • Ensure timely preparation and remittance of SSS, PhilHealth, Pag-IBIG, and BIR withholding taxes.
  • Maintain updated records of employee government contributions and loan deductions.
  • Coordinate with external CPA firm or Senior Accountant for compliance filing schedules.
  • Assist in annual reporting (BIR Form 2316, etc.).

Employee Records & Support

  • Maintain accurate and confidential employee payroll records.
  • Respond to employee payroll-related inquiries promptly and professionally.
  • Support HR in processing new hires, separations, and status changes that affect payroll.
  • Ensure proper documentation of all payroll adjustments and approvals.

System Management & Reporting

  • Use Sprout HRIS and QuickBooks for payroll processing and record management.
  • Reconcile payroll data with accounting ledgers and client invoices.
  • Generate monthly reports for management, including payroll cost summaries and variance analyses.
  • Support payroll automation initiatives and process improvements.

Qualifications & Skills

  • Bachelor's Degree in Accountancy, Finance, Human Resource Management, or a related field.
  • Minimum 2years of payroll experience, preferably in an outsourcing, BPO, or EOR setup.
  • Strong understanding of DOLE regulations, tax laws, and government remittance procedures.
  • Proficient in Sprout HRIS, QuickBooks, Excel, or equivalent payroll tools.
  • High attention to detail, accuracy, and confidentiality.
  • Strong communication and time management skills.
  • Ability to work independently and handle multiple payroll cycles.
