About the Role
We're looking for a dependable Administrative & Bookkeeping Assistant to help keep things organized and ensure day-to-day financial tasks run smoothly. You'll support leadership with scheduling, emails, and documentation, while also handling basic bookkeeping tasks like tracking invoices, reimbursements, and compliance deadlines.
This role is ideal for someone who enjoys keeping things tidy, is comfortable with QuickBooks and Excel, and wants a long-term position with room to grow.
Key Responsibilities
- Bookkeeping Support
- Track unpaid or incorrectly paid invoices
- Send polite reminders to clients about outstanding balances
- Record reimbursable expenses and prepare monthly invoices
- Assist with QuickBooks data entry and reconciliations
- Administrative Support
- Manage calendars, schedule meetings, and organize files
- Draft and review emails and correspondence
- Prepare simple reports and assist with project follow-ups
- Coordinate travel or appointments when needed
- Compliance & Data Management
- Maintain spreadsheets for reimbursements and payroll discrepancies
- Help track compliance deadlines (e.g., medical licensure renewals)
- Extract and organize data into easy-to-read summaries or calendars
Requirements
- Experience in administrative support or assistance
- Strong skills in organization, communication, and multitasking
- Intermediate knowledge of QuickBooks and Excel
- Comfortable managing emails, documents, and confidential information
- Tech-savvy with MS Office Suite and Google Workspace
- Experience in medical or professional services is a plus
- Must be able to work consistently during EST hours
- Willing to work onsite in Lipa City, Batangas
- Looking for someone committed long-term and open to learning
