Role: Sales Executive Assistant
Location: Makati | Hybrid - 2-3x a week onsite

JOB OVERVIEW
The Senior Sales Executive Assistant (EA) will play a pivotal role in supporting the client and the Founder with high-level administrative, operational, and client-facing responsibilities.
DUTIES AND RESPONSIBILITIES

CRM Management – Zoho
-
Maintain and update client and lead records in Zoho CRM

Track sales pipeline stages and ensure data accuracy
-
Automate workflows and reminders for follow-ups and tasks
-

Client Onboarding
-
Prepare and send engagement letters and information checklists
-
Manage client onboarding checklists and ensure timely completion
-
Coordinate with internal teams to ensure a smooth transition into service deliver
-

Client Administration
-
Generate and send invoices using Xero
-
Monitor outstanding payments and follow up on overdue invoice
-

Marketing Campaigns
-
Design, plan and execute email marketing campaigns
-
Initiate and coordinate with leadership for content creation
-
Track campaign performance and engagement metric
-
-
Social Media Management
-
Manage LinkedIn profiles and pages
-
Schedule and publish regular posts aligned with brand messaging
-
Monitor engagement and respond to comments or messages
-
-
Website Management
-
Coordinate updates to website content, including blog articles and resources
-
Apply SEO principles to continuously improve the client website
-
Track website analytics and suggest improvements
-
-
Lead Generation
-
Research and identify potential leads
-
Draft and send cold outreach emails and follow-up sequences
-
Conduct cold calls to qualify leads and schedule meetings
-

Partnership Development
-
Identify and reach out to known potential partners via warm emails and calls
-
Maintain a database of partnership contacts and communications
-
Support the development of co-branded initiatives or referral programs
-

Client Outreach Programs
-
Execute outreach strategies on behalf of the company's clients
-
Schedule meetings with targets to execute client strategies
-
Track outreach effectiveness and report on acquisition metrics
-

Sales Mandate Support
-
Issue NDAs and manage document tracking for prospective buyers
-
Prepare and send pitch decks and supporting materials
-
Coordinate with internal teams as needed
-

Diary and Travel Management
-
Manage calendar and appointments for the Founder, including internal and external meetings
-
Coordinate travel arrangements, itineraries, and accommodations
-
Ensure timely reminders and preparation for meetings and events
-
-
Ad Hoc Office Administration
-
Provide general administrative support to the team
-
Assist with document formatting, data entry, and internal communications
-
Support virtual office operations and team coordination
-
QUALIFICATIONS
-
At least 5+ years of experience in Executive Assistance, Sales and Marketing
-
Strong executive support experience in sales or client-focused roles, with excellent calendar, travel, and document management
-
Proficient in Zoho CRM and Xero, with a solid grasp of workflow automation, pipeline tracking, and invoicing
-
Skilled in client onboarding, lead generation, and outreach strategies, including cold emails, follow-ups, and partnership development
-
Experience managing email marketing, social media (LinkedIn), and website updates, including basic SEO and analytics
-
Highly organized and adaptable, with strong communication skills and the ability to manage multiple tasks in a virtual team environment
