Job Description

We are seeking a highly organized, professional, and proactive
Secretary
to Director Cum Coordinator

to become the right hand to our Director/ General Manager. This is a dynamic, central role that touches every part of our business, from sales follow-up to critical administrative management. If you are a natural problem-solver who excels at multitasking and ensuring no detail is missed, we want to hear from you.

Key Responsibilities

  • Executive Support:
    Directly assist the General Manager with the daily management of business activities, calendar oversight, document preparation, and special projects.
  • Travel & Logistics:
    Organize, prepare for, and assist the General Manager during business travels and meetings, ensuring all logistics are handled seamlessly.
  • Sales & Customer Follow-up:
    Serve as a crucial communication bridge by following up with the
    Sales Team
    on pipeline activities and ensuring prompt, professional follow-up with
    customers
    via calls and email.
  • Office Administration:
    Manage general office administration, including managing supplies, handling correspondence, and maintaining a functional and organized workspace.
  • Record Keeping & Reporting:
    Maintain, organize, and archive critical business and administrative records. Compile and follow up on
    monthly task lists
    and operational reports.
  • Meeting Coordination:
    Schedule, prepare materials for, and ensure action items are followed up on after internal sales team meetings.

What You Bring

  • Proven experience in an administrative, executive assistant, or operations coordination role.
  • Exceptional organizational skills and a demonstrated ability to manage complex schedules and multiple tasks simultaneously.
  • Excellent written and verbal communication skills; comfortable interacting with senior staff, sales teams, and customers.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Social Media and digital record-keeping systems.
  • A high degree of professionalism, discretion, and ability to handle confidential information.
