Works Closely With: Director of Operations – Content Studio (WPH), Recruiting Manager, Director of Finance / Controller, AI Systems Lead, HR/Payroll Officer, Creative Assurance Lead.

Location: White Plains Office – On-site full time

Employment Type: Full-time (Leadership / Permanent Role)

Role Purpose

The Director of Operations – Office is the command center for all administrative, recruiting, financial, and data operations in Manila.

They ensure the engine that powers production — people, payroll, purchasing, and reporting — runs seamlessly every day.

While the Content Studio Director manages what gets created, this Director manages how it all runs behind the scenes — keeping every peso, person, and process tracked, verified, and properly documented.

They are the structure to the creative chaos, enforcing accountability, systems discipline, and clear communication between teams.

Key Responsibilities

Office Leadership & Daily Management

● Lead and manage all WPO departments:

● Recruiting & HR (Katherine + assistants)

● Finance & Accounting

● Data & AI Operations (Erick's office-based staff)

● Procurement & Admin Support

● Maintain a professional, efficient, and structured office environment.

● Host daily check-ins with department leads; review deliverables and KPIs.

● Coordinate with WPH Director to align all creative, staffing, and budget needs.

Process & System Enforcement

● Enforce consistent reporting, documentation, and task-tracking across all departments.

● Ensure all departments properly use internal systems (ClickUp, Airtable, Slack, Google Workspace).

● Standardize daily reporting structure (Finance → HR → Recruiting → Creative → Tim).

● Audit and improve workflows to reduce errors, redundancy, or miscommunication.

● Manage office scheduling, supplies, and vendor relationships.

Recruiting & HR Oversight

● Oversee Katherine and recruiting assistants; monitor hiring pipelines and recruiter KPIs.

● Ensure all new hires are properly onboarded, documented, and classified (employee vs. contractor).

● Enforce compliance with Philippine labor laws and internal HR standards.

● Handle disciplinary processes, warnings, or terminations when required.

● Maintain updated records for all local and remote contractors.

Finance & Procurement Coordination

● Collaborate with Director of Finance / Controller to approve payments, expenses, and budgets.

● Review and sign off on purchase requests from the house (WPH) and office (WPO).

● Ensure proper tracking of reimbursements, bonuses, and recruiter bounties.

● Guarantee every financial action is properly double-verified (per your compliance SOP).

● Work with Finance and AI Systems to deliver weekly cash flow and expense dashboards.

Data, Reporting, and Executive Support

● Consolidate all departmental updates into one Weekly Executive Report for Tim.

● Review all reports for accuracy, completeness, and data quality before submission.

● Ensure key metrics (creative volume, hiring status, cash flow, KPIs) are visible in real time.

● Maintain clean data pipelines and prevent reporting lag between WPO and WPH.

Policy & Compliance

● Maintain and enforce internal company policies (attendance, overtime, leave, confidentiality).

● Monitor contract renewals, compliance filings, and vendor documentation.

● Ensure both office and house operations follow internal safety and compliance protocols.

● Coordinate with your legal and accounting partners on any regulatory matters.

Required Skills & Experience

● 8+ years in operations, administration, or general management, preferably in a creative, agency, or BPO environment.

● Proven experience leading multi-department teams (HR, Finance, Recruiting, Data).

● Strong analytical skills — understands P&L, payroll, and reporting systems.

● Excellent organizational and leadership abilities; thrives in fast-paced environments.

● Fluent English (written and spoken) with professional business communication skills.

● Familiarity with automation and analytics platforms (ClickUp, Airtable, GA4,

, Google Data Studio).

● High emotional intelligence and discretion when handling sensitive HR or financial matters.

KPIs (First 90 Days)

● 100% of WPO departments use standardized reporting templates daily.

● Weekly Executive Reports delivered on time and error-free.

● Reduce interdepartmental miscommunication between office and house by 50%.

● Complete audit of all staff contracts, payroll records, and vendor documents by Day 60.

● Maintain clean cash flow reporting and budget control across all active projects.

● Achieve zero late or missing payroll, bonuses, or payouts.

Work Setup

● Full-time on-site in White Plains Office (WPO).

● Daily communication with WPH Director Katherine, Erick, and the Finance team.

● Attends weekly Executive Meeting with Tim (virtual or in-person).

● Responsible for office professionalism, security, and efficiency.

Phase 2 (After Month 3)

Once office systems are stable, this Director will:

● Oversee expansion of the Manila office team (Finance, Recruiting, HR).

● Collaborate with AI Systems Lead to automate more of reporting and data consolidation.

● Partner with Tim on long-term strategic initiatives: scaling multiple houses, managing budgets, and forecasting staffing needs.
