About the Job

The People Operations Coordinator will provide day-to-day administrative and operational support to the client's Human Resources (HR) team. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a proactive team player who demonstrates professionalism, confidentiality, and a customer-service mindset while supporting both employees and all people operations team members.

Key Responsibilities:

HR Communication & Support

  • Monitor and manage the HR shared inbox (FreshService), sort incoming emails into designated categories, and respond to general inquiries using approved saved replies, Happeo resources, and client's knowledge base.
  • Escalate and assign emails to appropriate HR team members as needed to ensure timely resolution.
  • Attend HR Office Hours (as scheduled) to support employee questions and provide real-time assistance.

Leave Administration

  • Transfer employee leave information to client's third-party administrator (NY Life), including submitting leave and absence dates and applicable leave types.
  • Accurately enter approved leave cases (e.g., FMLA, Short-Term Disability, Long-Term Disability,
  • Paid Parental Leave) into Workday for employee records and tracking.

Unemployment (UI) Claims

  • Gather and prepare supporting documentation for unemployment insurance claims.
  • Respond directly to state agencies with complete and accurate claim information within required timelines.

HR Operations & Auditing

  • Run the monthly Verify Comply audit and report findings to HR leadership.
  • Maintain accurate and organized digital records in Google Drive, including spreadsheets, trackers, and reports.
  • Support additional HR operational projects and initiatives, as assigned.
  • Employee Recognition & Gifting
  • Administer client's gifting program in partnership with the company's store vendor.
  • Manage redemption store requests and fulfillment of employee swag orders.

Skills / Qualifications

  • Proficient in Google Workspace (Drive, Docs, Sheets).
  • Prior experience with Workday preferred or similar HRIS system.
  • Strong organizational skills with a high attention to detail.
  • Ability to manage confidential information with discretion.
  • Excellent written and verbal communication skills.
  • Self-motivated and able to work independently while contributing as part of a team.

  • Minimum of 1 year of HR experience or equivalent HR knowledge.
