The Role
We are seeking a highly organized and proactive professional who will provide administrative support to the IT, Fixed Asset, and Admin Departments, ensuring efficient operations and effective communication. This role involves coordinating various administrative tasks, managing IT documentation, assisting with fixed asset management, and liaising with vendors. The ideal candidate will be detail-oriented, organized, and have a basic understanding of IT functions and terminology.
Key Responsibilities
A. IT Support Functions
- Provide first-level technical support to Cebu-based staff for hardware, software, and network issues.
- Coordinate with the Main Office IT Team for escalations, system updates, and advanced troubleshooting.
- Assist with installation, configuration, and basic maintenance of IT equipment (computers, printers, network devices).
- Support account setup for new hires (email, system access) as instructed by the main IT team.
- Conduct basic diagnostics before sending equipment for repair or replacement.
- Monitor and report IT equipment usage, incidents, and downtime to the main IT team.
B. Administrative Functions
- Serve as the point of contact for Cebu office day-to-day admin concerns (supplies, courier services, maintenance requests).
- Ensure compliance with company policies, coordinating with the Admin Team in main office for approvals and budgets.
- Maintain an organized filing system for records, documents, and correspondence.
- Facilitate logistics for meetings and events in the Cebu office.
- Monitor and replenish office consumables (paper, ink, pantry supplies) following approved procurement procedures.
C. Fixed Asset Custodianship
- Act as the on-site custodian for all fixed assets in the Cebu office.
- Maintain updated inventory records in coordination with the Fixed Asset Management team in main office.
- Conduct regular physical asset counts and reconcile with the master list.
- Oversee distribution, transfer, or retrieval of assets as instructed by the main office.
- Ensure proper tagging, safekeeping, and maintenance of all assets, including IT equipment.
- Report damages, losses, or disposals to the main office for documentation and approval.
D. Coordination & Reporting
- Provide weekly status reports to department heads (IT, Admin, FA) in main office.
- Participate in regular virtual coordination meetings with main office teams.
- Submit incident reports, inventory updates, and admin logs on time.
- Escalate urgent concerns immediately to the appropriate department head.
E. Compliance & Confidentiality
- Ensure all activities follow company SOPs, PEZA/BIR compliance (if applicable), and data security protocols.
- Maintain strict confidentiality of company information, employee data, and asset records.
Qualifications
Education:
- Bachelor's Degree in Information Technology, Computer Science, Business Administration, Office Administration, Accounting, or related field.
Experience:
- IT Support: Minimum 1–2 years of experience in hardware/software troubleshooting, account setup, and network support.
- Administrative: At least 1 year of experience in office administration, procurement coordination, or clerical support.
- Fixed Asset Management: Experience in asset inventory, tagging, custodianship, and reconciliation.
Skills:
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite and Google Workspace
- Basic knowledge of IT tools/software (ticketing systems, RMM tools, VPNs)
- Attention to detail; ability to multitask in a fast-paced environment
- Basic troubleshooting skills or willingness to learn
- Strong problem-solving skills with a proactive approach

Schedule
- Monday to Friday, 9AM - 6PM
Location
- Full-time onsite at Cebu office - Cebu Business Park
