Major Responsibilities
This role requires engaging with various stakeholders via phone and email while utilizing Enviro Trees' work management system, Tree Manager (TM). Key responsibilities include:
Work Order Management
Create accurate work orders in TM with clear job details.
- Assign tasks to the appropriate Tree Partner based on knowledge of allocation methods.
- Record communication notes within TM.
- Track progress to ensure alignment with workflow expectations.
- Provide customers with timely status updates and respond to queries.
Coordination with Tree Partners
Record ETAs, upload before-and-after photos, tree details, and job costing information.
- Verify completeness and accuracy of work orders.
- Prepare quotations in line with Enviro Trees' standards using details provided.
Customer & Stakeholder Communication
Manage inbound and outbound communications with customers, Tree Partners, and internal teams.
- Maintain customer portals by uploading quotes and documents accurately and on time.
Team Collaboration
Use the TM dashboard daily to prioritize and action tasks.
- Escalate issues promptly to the Team Leader when needed.
Required Skills & Experience
- Strong verbal and written English communication.
- Prior experience in a complex, fast-paced customer service role (non-scripted).
- Ability to work under pressure, solve problems proactively, and operate independently.
- High attention to detail and accuracy across all work order levels.
- Proficiency with technology platforms (Office Suite, CRM, work management systems).
- Willingness to develop a deep understanding of Enviro Trees' operations.
- Strong interpersonal skills with the ability to build rapport across diverse stakeholders.
Key Performance Indicators (KPIs)
- Accuracy and clarity in Tree Manager entries, including job scopes, photos, and pricing.
- Properly costed and compliant quotations.
- Completion of all work order requirements prior to invoicing.
- Clear, professional, and proactive communication.
- Effective problem-solving and timely escalation.
- Consistent task delivery as directed by the Team Leader.
