Major Responsibilities

This role requires engaging with various stakeholders via phone and email while utilizing Enviro Trees' work management system, Tree Manager (TM). Key responsibilities include:

  • Work Order Management

  • Create accurate work orders in TM with clear job details.

  • Assign tasks to the appropriate Tree Partner based on knowledge of allocation methods.
  • Record communication notes within TM.
  • Track progress to ensure alignment with workflow expectations.
  • Provide customers with timely status updates and respond to queries.
  • Coordination with Tree Partners

  • Record ETAs, upload before-and-after photos, tree details, and job costing information.

  • Verify completeness and accuracy of work orders.
  • Prepare quotations in line with Enviro Trees' standards using details provided.
  • Customer & Stakeholder Communication

  • Manage inbound and outbound communications with customers, Tree Partners, and internal teams.

  • Maintain customer portals by uploading quotes and documents accurately and on time.
  • Team Collaboration

  • Use the TM dashboard daily to prioritize and action tasks.

  • Escalate issues promptly to the Team Leader when needed.

Required Skills & Experience

  • Strong verbal and written English communication.
  • Prior experience in a complex, fast-paced customer service role (non-scripted).
  • Ability to work under pressure, solve problems proactively, and operate independently.
  • High attention to detail and accuracy across all work order levels.
  • Proficiency with technology platforms (Office Suite, CRM, work management systems).
  • Willingness to develop a deep understanding of Enviro Trees' operations.
  • Strong interpersonal skills with the ability to build rapport across diverse stakeholders.

Key Performance Indicators (KPIs)

  • Accuracy and clarity in Tree Manager entries, including job scopes, photos, and pricing.
  • Properly costed and compliant quotations.
  • Completion of all work order requirements prior to invoicing.
  • Clear, professional, and proactive communication.
  • Effective problem-solving and timely escalation.
  • Consistent task delivery as directed by the Team Leader.
