We are looking for an enthusiastic Secretary/Office Administrator to join our team at Chi Renovation. Based in Chicago, Chi Renovation is a multi-faceted company that combines both interior design and build service. It is a remote position and you will provide both clerical and administrative support to our team including the coordination and implementation of office procedures. We desire individuals who are self-motivated, innovative, creative, and customer friendly.

Working according to the CDT Time Zone will be required to collaborate with team in Chicago.

RESPONSIBILITIES:

  • Scheduling and conducting phone interviews with prospective employees
  • Maintaining and creating Excel spreadsheets for all new employees
  • On boarding of new employees in the company
  • Maintaining an efficient and well-organized filing system for easy storage and retrieval of company records
  • Creating and proofreading documents and drafting emails
  • Assist in the preparation and processing of invoices and contractual documentation
  • Taking care of all correspondence, including telephone calls and emails
  • Scheduling appointments and organizing meetings
  • Maintaining and managing a manager's calendar
  • Working closely with design team to create project material documents
  • Market research on various construction materials
  • Maintaining good relations with vendors
  • Sourcing and ordering materials as per specifications from design team
  • Documenting all ordered materials and updating status in respective project folders

REQUIREMENTS:

  • Makes the team more efficient and has strong organization and problem-solving skills
  • Manages multiple tasks simultaneously and has strong time-management skills
  • Excellent communication skills to effectively deal with clients, staff and managers
  • Excellent administrative and organizational skills
  • Good customer service skills and a friendly, polite disposition
  • Sound knowledge of computer systems and relevant software programs like Microsoft Suite - specifically Excel
  • Ability to record information accurately and pay attention to detail
  • Fluent English speaking skills
  • Good writing abilities
  • Good numerical skills
