Our role will give you an opportunity to oversee the management and optimisation of our facilities, ensuring a safe, sustainable, and productive space for our employees locally. You'll have a chance to act as the first point of contact for external visitors and providing best-in-class customer service to both internal and external stakeholders, including third party vendors.
Key AccountabilitiesWhat you'll be doing:
- Resolve internal and external Facilities requests via Service Now, in line with KPIs and to offer guidance to Facilities Coordinators for resolving complex requests.
- Manage relationships with internal and external stakeholder, including third party vendors.
- Demonstrate commercial awareness by researching alternative suppliers / vendors to reduce costs and expenditure.
- Mange incoming calls for regional mainline and acting as the first point of contact for internal and external visitors.
- Organise / facilitate internal and external events to ensure that they are successful.
- Coordinate maintenance schedules for the building, office equipment and internal systems (e.g. heating system, alarms, security cameras).
- Raise PO's and manage invoices, updating the cost control tracker in a timely manner.
- Present Facilities spend for the region and escalate any issues.
- Support the delivery of optimum cost efficiencies throughout the year.
- Conduct regular floor walks to identify any necessary repairs or renovations.
- Manage office supplies including kitchen facilities and stationery.
- Oversee the cleaning / disinfecting schedules for the building /office floor(s).
- Support office emergencies e.g. First Aid or Fire Evacuation procedures and escalate, where appropriate.
- Lead ad-hoc Facilities projects and continuous improvement initiatives.
- Ensure compliance with all local / global Health and Safety regulations as well as Alexander Mann Solutions policies and procedures.
- Support internal and external Audits, as appropriate.
- Support the onboarding and training of new employees.
- Support Team Leaders with reporting requirements.
- Deputise for Facilities Team Leaders.
You'll need to demonstrate:
- Minimum 2 years of experience in a Facilities, Administration or Customer Service role.
- Excellent time management and organisational skills.
- Experience of working in a deadline driven environment.
- Excellent customer service skills.
- Proficiency with the Microsoft Office Suite.
- Ability to multi-task and prioritise workload.
- Willingness to work the mid shift schedule (12NN - 9PM Philippine Time)
- Willingness to work onsite daily (either at our Makati office or Muntinlupa office)
