Job Overview:
We are seeking a skilled Mandarin Translator - Executive Assistant who will provide crucial administrative support to a Chinese executive. The ideal candidate will be fluent in Mandarin (both written and spoken), English, and Tagalog, with a strong background in executive assistant roles. This position requires a high level of professionalism, attention to detail, and the ability to handle a wide range of administrative tasks efficiently. The Executive Assistant will act as a bridge between the executive and other team members, clients, and stakeholders, ensuring smooth communication across language barriers.
Key Responsibilities:
- Executive Support & Administration:
- Manage the executive's calendar, schedule appointments, and coordinate meetings both locally and internationally.
- Organize travel arrangements, including flights, hotels, and transportation, ensuring all details are covered.
- Prepare and organize documents, reports, presentations, and correspondence in both Mandarin and English.
- Handle confidential information with discretion and maintain the privacy of the executive's business matters.
- Translation and Interpretation:
- Provide translation services for the executive, ensuring clear communication in Mandarin, English, and Tagalog during meetings, calls, and written correspondence.
- Translate documents, emails, and presentations from Mandarin to English/Tagalog and vice versa, ensuring accuracy and cultural appropriateness.
- Act as a liaison between the executive and Mandarin-speaking clients, partners, and colleagues, both verbally and in writing.
- Provide real-time interpretation during meetings, conference calls, and other business engagements.
- Communication Facilitation:
- Act as the point of contact between the executive and both internal teams and external stakeholders, facilitating smooth communication.
- Ensure the executive is informed about important updates, meetings, and events in both Mandarin and English.
- Draft, review, and send official communications in Mandarin and English, ensuring professionalism and accuracy.
- Document Management:
- Maintain and organize filing systems for confidential documents and records, both physical and digital.
- Draft and proofread business emails, memos, and other internal/external communications in Mandarin and English.
- Prepare reports, minutes, and summaries of meetings and presentations as required by the executive.
- Logistics and Event Coordination:
- Assist in organizing events, conferences, and meetings, handling all necessary logistics including location, attendees, and materials.
- Coordinate with vendors, suppliers, and event planners, ensuring that all arrangements are made smoothly and on time.
- Provide on-the-ground support for executive-related events, ensuring successful execution.
- General Administrative Tasks:
- Handle incoming and outgoing correspondence (emails, calls, packages, etc.).
- Process and manage expenses, invoices, and other financial documents as needed.
- Maintain inventory of office supplies and manage procurement as necessary.
- Assist with personal tasks for the executive, such as personal appointments, reservations, etc., if required.
Qualifications & Skills:
- Experience:
- Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role, preferably supporting a senior executive.
- Previous experience providing translation or interpretation services in a professional setting is highly preferred.
- Language Proficiency:
- Mandarin: Proficient in reading, writing, and speaking Mandarin (native or fluent).
- English: Strong proficiency in reading, writing, and speaking English.
- Tagalog: Proficient in Tagalog (spoken and written).
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Familiarity with translation tools or software is a plus.
- Communication Skills:
- Excellent written and verbal communication skills in Mandarin, English, and Tagalog.
- Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
- Organization & Time Management:
- Strong attention to detail with excellent organizational and multitasking abilities.
- Ability to manage multiple tasks efficiently, prioritize work, and meet deadlines.
- Confidentiality & Professionalism:
- Ability to handle sensitive information with the highest level of confidentiality and integrity.
- Professional demeanor and ability to work independently and as part of a team.
- Adaptability:
- Flexibility and willingness to work in dynamic environments and adjust to the needs of the executive.
- Willing to be assigned to Pasay or Paranaque location as required.
