Job Qualification:
- Must be a graduate of any 4-year course, preferably Business Studies / Administration / Management or equivalent.
- With at least 3 years of solid experience as an Executive Assistant.
- High level of competence in the use of MS Office applications.
- Familiarity with MS SharePoint is a significant advantage.
- With excellent English communication skills, both oral and verbal.
- Detail- and deadline-oriented multitasker.
- Willing to work in Pasay City.
- Must be willing to travel outside Metro Manila as necessary.
- With experience in handling expat on previous job is an advantage
- Preferably with drivers license
- Co-terminus with the contract agreement with the CEO
Job Responsibility:
- Maintain records / minutes of meetings within the Foundation ensuring completeness and utmost confidentiality. These involve but not limited to LEADERS, MANCOM meetings, Management Review meetings, and other meetings within the organization.
- Coordinate with Top Management, Managers, and persons-in-charge on updates about active issues / action items and department's reports.
- Coordinate with various teams all preparations needed for all Board of Trustees, ATEP Steering Committee and MANCOM meetings.
- Coordinate with various teams all preparations needed for client visits to the center.
- Draft communication letters as needed by Top Management and ensure that these are monitored, delivered, and received.
- Ensure calendars of Top Management are synchronized preventing meeting conflicts.
- Prepare presentation materials as needed.
- Perform other tasks as deemed necessary by Top Management.
- Manage schedules, meetings, and confidential records for Top Management.
- Coordinate reports, action items, and client visits with teams.
- Prepare meeting materials, minutes, and official correspondence.
- Ensure smooth calendar management and prevent scheduling conflicts.
- Handle additional administrative tasks as assigned.
