
Administrative Executive

Job Summary:
The Administrative Executive will play a key role in ensuring the smooth day-to-day operations of the organization, with a primary focus on administrative functions. This role involves managing office documentation, preparing reports, coordinating schedules, and ensuring compliance with company policies and procedures. The Administrative Executive will oversee administrative workflows, maintain accurate records, support internal communication, and assist in process improvement initiatives. The ideal candidate will be detail-oriented, organized, and capable of handling multiple administrative tasks efficiently while providing operational support to management and other departments.
Job Responsibilities:
- Creating profiles and accounts for all new starters on Salesforce, telephone systems, Broadbean etc.
- Creating reports and dashboards as required.
- Updating currency conversions on Salesforce.
- Requesting and reporting on client and candidate feedback.
- Drafting and issuing terms of business amendments and variations.
- Uploading terms of business to the database and distributing where appropriate.
- Order company gifts, office stationery and supplies for the Asia offices where required.
- Ensure an accurate asset register is maintained at all times.
- Manage internal anniversaries, creating posts for LinkedIn and communicating with relevant managers.
- General administrative support to all offices where required, including CV formatting, preparing presentations etc.
Job Requirements:
- With at least 5-8 years of work experience in the same field.
- IT literate with good typing skills and confident using Microsoft Office including Outlook, Excel, Word and PowerPoint. OneDrive, SharePoint and Salesforce would be advantageous but not required.
- Knowledgeable in CRM Tools (Salesforce, Hubspot, etc.)
- Ability to prioritise workload effectively.
- Problem-solving skills and the ability to come up with creative solutions to issues.
- Previous experience working within recruitment sector.
- Outstanding attention to detail and the ability to remain calm under pressure.
- Can start ASAP
