Administrative Duties:

  • Office Management: Maintaining organized and efficient office operations. This can include managing office supplies, equipment maintenance, vendor relationships, and ensuring a clean and functional workspace.
  • Communication Management: Handling internal and external communications, including drafting emails, preparing correspondence, answering phone calls, and managing mail distribution.
  • Scheduling and Calendar Management: Coordinating meetings, appointments, and travel arrangements for individuals or teams. This requires meticulous attention to detail and proactive problem-solving.
  • Record Keeping and Data Entry: Maintaining accurate and up-to-date records, databases, and filing systems (both physical and digital). This is crucial for compliance and efficient information retrieval.
  • Document Preparation: Creating, formatting, and editing various documents such as reports, presentations, memos, and minutes of meetings. Strong attention to detail and proficiency in relevant software are key.
  • General Clerical Support: Providing administrative support to various departments or individuals, which may include photocopying, scanning, faxing, and other general office tasks.
  • Visitor Management: Welcoming and directing visitors, ensuring a professional and hospitable reception.
  • Invoice Processing and Expense Reports: Assisting with the processing of invoices, tracking expenses, and preparing expense reports, often working closely with the finance department.

Logistics Duties:

  • Inventory Management: Overseeing the storage, organization, and tracking of goods, materials, and supplies. This includes conducting regular inventory checks and implementing strategies to optimize stock levels.
  • Procurement Support: Assisting with the purchasing process, which may involve obtaining quotes from vendors, preparing purchase orders, and tracking deliveries.
  • Shipping and Receiving: Coordinating the shipment of outgoing goods and the receipt of incoming deliveries. This includes liaising with carriers, preparing shipping documents, and verifying the accuracy of received items.
  • Warehouse Organization: Ensuring the efficient layout and operation of warehouse or storage facilities to facilitate easy access and retrieval of items.
  • Transportation Coordination: Arranging transportation for goods, materials, or personnel, considering cost-effectiveness and timely delivery. This may involve working with third-party logistics providers.
  • Supply Chain Support: Contributing to the overall efficiency of the supply chain by monitoring inventory levels, identifying potential bottlenecks, and suggesting improvements.
  • Logistics Documentation: Maintaining accurate records related to shipping, receiving, and inventory movements. This ensures compliance and provides valuable data for analysis.
  • Coordination with Internal Teams: Collaborating with various departments, such as sales, production, and finance, to ensure smooth logistical operations.
