Position Title: Executive Assistant

Classification: Exempt / Full-Time

Reports To: Chief Executive Officer

Location: Cebu-onsite

Position Summary

The Executive Assistant shall provide comprehensive administrative and operational support to the CEO and executive leadership team. In addition to traditional executive assistant functions, the incumbent shall exercise responsibility for the coordination and execution of corporate marketing initiatives and the review of internal and external documents to ensure accuracy, compliance, and professional presentation.

Responsibilities

  • Executive Support
    • Maintain, coordinate, and manage the CEO's calendar, schedules, appointments, meetings, and travel itineraries.
    • Prepare and organize meeting materials, agendas, and minutes; ensure follow-up actions are documented and executed.
    • Draft, edit, and manage executive correspondence, presentations, and official communications.
    • Serve as primary liaison for internal and external stakeholders, maintaining the highest level of confidentiality and discretion.
    • Plan, coordinate, and implement marketing campaigns, digital outreach, and promotional initiatives in alignment with corporate strategy.
    • Oversee the development, distribution, and maintenance of marketing collateral, website content, and social media channels to ensure consistency of brand identity.
    • Liaise with vendors, agencies, and third-party providers to support marketing and communications initiatives.
    • Assist in preparation of proposals, capability statements, and presentations in support of business development efforts.
  • Document Review and Quality Assurance
    • Review, proofread, and edit contracts, proposals, reports, and corporate documentation for clarity, compliance, and accuracy.
    • Ensure that all documents adhere to corporate standards, legal formatting, and applicable style guidelines.
    • Maintain version control of key documents and oversee the quality of final deliverables.
Qualifications
  • Bachelor's degree in business administration, Communications, Marketing, or related discipline Preferred.
  • Minimum of three (3) years of progressively responsible experience as an executive assistant, preferably with exposure to marketing and/or communications.
  • Demonstrated excellence in written and verbal communication, including editing and document review.
  • Proficiency in Microsoft Office Suite, and familiarity with CRM and marketing automation platforms.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Proven ability to handle confidential and sensitive information with the utmost discretion.
