Administrative Assistant – Multi-Business Support | Remote | Immediate Start

Role Name: Administrative Assistant

Schedule: Part-time (20 hours per week), Wednesday to Friday 10 am to 6 pm ET, Saturday/Sunday 12 pm to 8 pm

Client Timezone: Eastern Time (Canada)

Job Description: You'll become the operational backbone for a multi-faceted business owner who's ready to scale. This isn't just another admin role – you'll help streamline operations across software sales, financial services, and media production while implementing systems that drive real results. You'll work directly with someone who values your input and wants to see you grow alongside their businesses. This role starts part-time but offers strong potential for expansion as you prove your impact and take on broader responsibilities.

Responsibilities:

  • Streamline administrative operations for private lending business including process documentation and client management
  • Conduct targeted outreach and research for podcast guests, managing the entire booking pipeline
  • Draft and manage sales email sequences using AI tools like ChatGPT for multiple business lines
  • Perform comprehensive time audits and productivity analysis to identify efficiency opportunities
  • Organize and maintain business documentation, processes, and standard operating procedures
  • Handle calendar management, scheduling, and meeting coordination across multiple ventures
  • Support personal goal tracking and accountability systems with data-driven insights
  • Manage follow-up communications and relationship maintenance for various business contacts
  • Assist with CRM management and sales pipeline organization

Requirements:

  • Proven experience as an executive assistant, operational assistant, or similar administrative role supporting business owners or executives
  • Strong organizational skills with ability to manage multiple priorities across different business types
  • Excellent written communication skills for client-facing interactions and professional correspondence
  • Familiarity with AI tools and modern productivity software (ChatGPT, CRM systems, scheduling tools)
  • Experience with sales processes, lead management, or business development activities
  • Bonus if you have experience with financial services, lending, or podcast production
  • It helps if you're comfortable with technology and quick to learn new software platforms
