Administrative Assistant

The Administrative Assistant provides comprehensive support to the Executive Office by managing administrative and clerical tasks, coordinating events and travel, and ensuring smooth communication within the organization. This role requires strong organizational skills, discretion, and the ability to handle multiple priorities efficiently.
Key Responsibilities:
- Monitor and record employee attendance, leaves, and work schedules to ensure accurate payroll processing and compliance with company policies.
- Track and update employee leave balances, process leave applications, and maintain accurate leave records in coordination with HR.
- Plan, organize, and execute company events and activities, including logistics, venue arrangements, and documentation of related expenses.
- Manage booking of flights, accommodations, and itineraries for official business trips of company executives and staff.
- Provide logistical and administrative support during meetings, conferences, and visits, ensuring proper coordination and hospitality for executives and guests.
- Manage, route, and file documents and communications from the Executive Office and the Office of the President, ensuring accuracy, confidentiality, and proper documentation.
- Carry out directives, special projects, and other tasks assigned by the Executive Office in a timely and efficient manner.
- Perform other related administrative duties to assist the Executive Office in its daily operations and organizational initiatives.
Qualifications:
- Skilled in Word, Excel, PowerPoint, Outlook, and other productivity tools.
- Knowledge in maintaining electronic filing systems and spreadsheets.
- Familiarity with booking platforms and basic budgeting for logistics.
- Excellent written and verbal communication, especially when coordinating with executives, guests, and staff.
- Handles sensitive information with integrity and professionalism.
- Delivers consistent, high-quality output and takes responsibility for assigned duties.
- Works harmoniously with HR, admin, and other departments for smooth coordination.
- Maintains a polished and positive image representing the Executive Office.
