Job Description

Office & Visitor Management

  • Greet and assist visitors, ensuring a hospitable and professional front desk experience.
  • Coordinate meeting room bookings and prepare necessary materials or refreshments.

Documentation & Reporting

  • Maintain and organize physical and digital files, ensuring accuracy and completeness.
  • Prepare reports, memos, and correspondence with a high level of attention to detail.

System & Asset Management

  • Use Microsoft 365, Excel, and ERP systems to track office supplies, equipment, and assets.
  • Coordinate with building management for maintenance, access, and facility-related concerns.

Administrative Support

  • Assist in scheduling meetings, managing calendars, and handling internal communications.
  • Support various departments with clerical tasks and special projects as needed.

Compliance & Inventory

  • Monitor and update asset inventory records regularly.
  • Ensure compliance with internal documentation standards and assist in audits when required.

Qualifications:

  • Must be a college graduate with strong proficiency in Microsoft 365, Excel, ERP systems, and experience in building and asset management.
  • Demonstrates excellent hospitality skills and can professionally cater to visitors and guests.
  • Has a solid background in documentation, with strong attention to detail and organizational skills.
  • Capable of managing office assets, coordinating with building management, and ensuring smooth operational support.
  • Proactive, reliable, and able to work independently while maintaining a welcoming and professional environment.
