I. Job Summary

Responsible for providing complex administrative assistance and secretarial support to relieve the President of administrative details; to organize office activities and coordinate communication for the President and to perform a variety of other duties relative to assigned area of responsibility.

Receives and screens office visitors, telephone calls and correspondence of the President. Provides pertinent information whenever necessary or forwards to concerned unit for proper action.

Monitors performance or accomplishment and status of special projects of the firm. Provides feedback to superior regularly.

II. Job Duties and Responsibilities

  1. Maintains calendar of the President, schedules and arranges appointments, meeting, conferences and travel accommodations as necessary. Prepares agenda of the meeting under general direction of his superior.

a. Informs superior of any proposed appointment and records information to track down schedules. Reminds superior of his appointments/meetings daily and informs concerned personnel re: status of request for appointment.

b. Arranges appointments/meetings with other parties as instructed by or in behalf of his superior.

c. Ensures that all requirements (e.g. equipment, venue, reports/presentation materials, etc.) are prepared prior to the meeting.

  1. Compiles attendance and prepares various attendance report (Leaves, Overtimes) and other related materials for purposes required for the computation of payroll.

  2. Operates a personal computer and peripheral equipment, using modern software, including Word Excel, PowerPoint and other software or system. Operates a variety of modern machines and equipment such as typewriter, calculator and facsimile machine.

  3. Prepares Manual Statement of Accounts for Billing and issuance of Official Receipt. Records the collection in the system software of the company.

  4. Maintains an understanding of the company's programs and functions and their relation to the operations as a whole; maintains a variety of records and files including materials of a confidential nature.

  5. Maintains and monitors the requisition of supplies of the firm and ensures that these are within budget.

  6. Maintains a systematic filing of documents/files. Monitors the receiving and delivery of documents of the company.

  7. Prepares the schedule, task and coordinates deliverables of runners/messengers.

Customer Handling Responsibilities:

  1. Receives and screens office visitors

a. Informs the President's regarding visiting client's request.

  1. Answers calls and replies to basic customer inquiries and requests or forwards call to concerned staff for proper attention.

Facilitating Responsibilities:

  1. Receives and distributes incoming mail/correspondences and screens telephone calls and e-mail messages of his superior. Provides assistance using independent judgment to determine those requiring priority attention.

a. Locates and attaches appropriate file/necessary documents or information which will be used as reference by the Head.

b. In cases where the Head's attention/signature is not mandatory, routes correspondences/documents to the appropriate unit and monitors its status.

c. Replies to inquiries/requests which may not require the Head's attention.

d. Makes appropriate follow up for correspondences routed to other senior officers that require response.
