About the Role

We're looking for a CRM Workflow Manager (GoHighLevel) who thrives on structure, precision, and results. In this position, you'll be responsible for managing GoHighLevel automations, certification cycles, and lead workflows while ensuring event logistics run without a hitch. You'll be directly involved in optimizing pipelines, cleaning up data, and boosting conversions through process improvements and hands-on engagement with leads.

What You'll Do

  • Oversee all GHL functions: workflows, triggers, tags, calendars, pipelines, conversations, surveys, and email/SMS.
  • Keep certification workflows accurate (Zoom links, reminders, dates).
  • Manage tagging systems and statuses to support smooth lead movement.
  • QA launches and campaigns across AU/US regions.
  • Troubleshoot the Conversations inbox and ensure failed sends are resolved.
  • Maintain accurate data: remove duplicates, track UTMs, and archive inactive pipelines.
  • Monitor deliverability and improve performance where needed.
  • Optimize processes through testing (timing, messaging, cadence).
  • Increase attendance by making quick outbound confirmation calls.
  • Schedule founder follow-ups post-certification.
  • Create weekly performance dashboards with key metrics.
  • Document and update SOPs, while preparing systems for U.S. market expansion.

What You Bring

  • Hands-on GHL experience (1–2+ years minimum).
  • Strong communication skills in English, with phone/email/chat confidence.
  • Experience in appointment setting or client engagement roles.
  • Comfort working across AU/US time zones.
  • Skilled in event coordination and Zoom logistics.
  • Detail-oriented with a knack for data hygiene.

Nice to Have

  • Knowledge of Meta ads funnels and tracking.
  • Basic editing skills in GHL landing pages.
  • Background in A/B testing subject lines, reminders, or SMS.
  • Familiarity with scheduling campaigns and content.
  • Process improvement mindset with a focus on measurable impact.
