Bookkeeping:

  • Record all daily financial transactions, including project-related expenses, sales, payments, deposits, and withdrawals.
  • Maintain and update ledgers, journals, and books of accounts.
  • Monitor accounts payable and receivable, and report due/overdue accounts to the owner.
  • Reconcile cash and bank balances regularly.
  • Prepare simple financial summaries, such as: Cash flow report, Income and expense summary, Outstanding balances of clients and suppliers
  • Organize and file invoices, receipts, purchase orders, and other supporting documents.

Administrative Support:

  • Maintain organized filing systems (both physical and digital).
  • Maintain office supplies inventory and ensure the office is well-stocked.
  • Assist with other general office tasks as required.

Purchasing & Supplier Coordination:

  • Prepare and process purchase requests and orders for materials and supplies needed for construction projects.
  • Contact suppliers to request quotations, check stock availability, and negotiate prices if needed.
  • Coordinate with project/site staff regarding material needs and delivery schedules.
  • Follow up with suppliers to ensure timely delivery of materials to project sites.
  • Maintain an updated list of approved suppliers and current price lists.

Qualifications:

  • College level in BS Accountancy, Financial Management or other related courses.
  • Familiarity with basic bookkeeping principles and practices.
  • Proficient in Microsoft Office (especially Excel)
  • Strong organizational and time management skills.
  • High attention to detail and accuracy.
  • Trustworthy and able to maintain confidentiality of business information.
  • Good communication and interpersonal skills.
