Role Purpose

We are seeking a highly organised and proactive Executive Assistant to provide high-level executive and administrative support, manage key business processes, and deliver marketing and research tasks. This role plays a vital part in ensuring smooth operations for property and construction projects, while working closely with the Director.

Key Responsibilities
  • Manage executive inbox, prioritising and actioning emails.
  • Maintain and organise Dropbox files, ensuring plans, documents, and project files are up to date.
  • Prepare and edit Word documents, Excel spreadsheets, and PowerPoint presentations.
  • Conduct property and market research (e.g., recent sales, listings, market trends).
  • Liaise with consultants, builders, and suppliers to obtain updated plans, colours, and engineering documents.
  • Coordinate marketing material creation, including brochures and website updates.
  • Track project timelines and deadlines, ensuring tasks are completed promptly.
  • Handle confidential information with discretion and professionalism.
Skills & Experience
  • Experience in property, construction, or real estate environments.
  • Proficiency in Microsoft Office Suite.
  • Strong Dropbox management and file organisation skills.
  • Marketing support experience (brochures, website updates).
  • Excellent written and verbal English communication.
  • High level of initiative, problem-solving, and attention to detail.

  • Timely and accurate completion of tasks.
  • Up-to-date and well-organised project documentation.
  • Quality and timeliness of research outputs.
  • Effective coordination of marketing and admin tasks without constant supervision.

Qualifications / Requirements
  • Minimum 2 years' experience in an Executive Assistant, Administrative, or Project Support role.
  • Bachelor's degree in Business Administration, Management, or related field (preferred).
  • Strong organisational and time-management skills with the ability to handle multiple tasks.
  • Ability to work independently while supporting a senior executive.
  • Knowledge of property, construction, or real estate processes (advantageous).
  • Willingness to work on-site and align with Sydney business hours.
