Project Manager – Cosmetics Manufacturing

Reports to: Director of PMO & Business Development

Position Summary

Our company is seeking a highly organized Project Manager to oversee end-to-end execution of cosmetic product development for client brands.

This role ensures every project moves smoothly from concept to manufacturing by coordinating R&D, Quality, Supply Chain, and Production while keeping clients informed, aligned, and confident.

You are the bridge between internal teams and clients — managing timelines, approvals, sample rounds, testing, formulation adjustments, raw material readiness, and production scheduling.

Your job is to keep projects on track, keep teams accountable, and keep clients happy.

Key Responsibilities1. Project Coordination & Timeline Management

• Own the full lifecycle of each client project from NPD form submission to production handover.
• Build and maintain detailed project timelines, tracking formulas, samples, testing, regulatory tasks, and production readiness.
• Follow up daily with R&D, QC, Supply Chain, and Production to ensure tasks are completed on schedule.
• Identify risks early and escalate delays, bottlenecks, or missing information immediately.

2. R&D + Sample Management

• Coordinate with the R&D/formulation team regarding formula briefs, revisions, ingredient sourcing, and lab batching schedules.
• Track sample creation, QC approval, and shipping to clients.
• Maintain detailed records of formula versions, scent/color adjustments, and client feedback.
• Ensure all client feedback is translated into actionable directions for R&D.

3. Client Communication & Expectation Management

• Serve as the primary point of contact for assigned clients.
• Provide clear status updates, next steps, and timelines — no guesswork for the client.
• Gather project requirements, clarify expectations, and manage approvals.
• Guide clients through Medpak's NPD process with clarity and confidence.

4. Cross-Department Collaboration

• Work with Supply Chain to track raw materials, packaging components, MOQs, and lead times.
• Partner with QA/QC to monitor claims, testing requirements, COAs, MSDS, and regulatory files.
• Align with Production on batching schedules, filling runs, and shipment timelines.
• Ensure seamless handoff from development to manufacturing.

5. Documentation & Compliance

• Maintain accurate project documentation, including formula records, meeting notes, approvals, and change logs.
• Track required compliance tasks: PET testing, stability testing, HRIPT, certificates, and regulatory documentation.
• Ensure all claims and formula changes are approved and documented before production.

6. Operational Efficiency & Process Improvement

• Identify recurring bottlenecks in R&D, supply chain, or production workflows.
• Propose improvements to standardize and speed up the NPD-to-production cycle.
• Support PMO leadership in building SOPs, dashboards, and project tracking systems.

Qualifications

• 3–5 years experience in project management, preferably in cosmetics, personal care, FMCG, or manufacturing.
• Familiarity with formulation, raw materials, packaging, and testing processes.
• Experience coordinating cross-functional teams (R&D, QC, Production, Supply Chain).
• Strong documentation and communication skills.
• Ability to read timelines, manage scope, and enforce deadlines.
• Experience with project management systems (Notion, Asana, ClickUp, Monday, etc.).

Pay: Php60, Php99,775.50 per month
