What You'll Need to Bring to the Drive
- Bachelor's degree or equivalent experience
- 4+ years of experience as an administrative/executive assistant, virtual assistant, or similar role supporting senior-level executives
- Strong judgment skills with the ability to solve problems within established practices and policies
- Quick adaptability to company operations, policies, and procedures to perform job-related tasks
- Ability to build relationships with key stakeholders and partners in Europe and the USA
- Excellent computer skills, including Microsoft Office Suite and mobile technologies/applications
- Strong organizational skills with the ability to multi-task and prioritize effectively in a fast-paced, high-pressure environment
- Excellent communication and interpersonal skills, both written and verbal, with strong English proficiency
- Ability to work independently and collaboratively in a remote team environment with minimal supervision
- Flexibility to adapt to changing schedules and work hours as required by the hybrid schedule
- Availability to work alternating weeks on local Serbia hours and US Pacific time hours
- Experience in a remote or virtual office environment (a plus)
- Positive attitude and strong business acumen
- Ability to anticipate last-minute changes and adjust quickly
- Strong team player mindset
Your Daily Route to Success
- Calendar Management - Manage internal and external meetings, prioritize incoming requests, and exercise judgment based on importance. Coordinate with US peers to align meeting schedules and travel requirements.
- Travel Support - Arrange travel using company systems and policies. Ensure leaders are prepared with required documentation and provide ad hoc support during travel.
- Material and Data Preparation - Prepare presentation materials and fulfill data requests. Leverage contacts within the organization to collect and synthesize information across various topics and operations.
- Leadership Meeting Support - Gather input for leadership meeting agendas, create agendas, record minutes, and share clear action plans. Collect and prepare information for internal and external discussions.
- Expenses - Enter and manage all expense reports.
- Requisitions in Coupa - Enter team requests, manage the process from start to finish, create purchase orders, and handle invoicing.
- Confidentiality - Maintain strict confidentiality in handling a high volume of sensitive information.
- Special Projects - Assist with special projects and other executive-level tasks as assigned by management.
