Sr. Executive Assistant

JOB SUMMARY:
The Executive Assistant provides high-level administrative, operational, and strategic support to the President. This role ensures the President's directives, priorities, and performance goals are executed efficiently by coordinating across departments, managing key documents and proposals, and driving productivity, compliance, and engagement initiatives.
Executive and Administrative Support
- Manage the President's calendar, meetings, travel, and communication flow.
- Prepare and organize executive documents, reports, presentations, and correspondence.
- Maintain confidentiality and professionalism in handling sensitive business matters.
- Represent the President in internal meetings when delegated and provide concise debriefs.
Contract and Client Management
- Prepare, review, monitor, and update new and existing client contracts, ensuring they are accurate, compliant, and submitted or renewed on time.
- Maintain a central database or dashboard for all client agreements with alerts for renewals, expirations, and compliance requirements.
- Coordinate with Legal, Finance, and Operations to ensure contract alignment with company policies and revenue goals.
Financial Proposal and Profitability Oversight
- Assist in the preparation and review of client cost estimates and proposals, ensuring target profit margins and cost efficiencies are achieved.
- Support the President in analyzing revenue and cost implications of new deals or renewals.
- Track and document profitability performance across key accounts and projects.
Field Audits and Quality Compliance
- Conduct field audits and quality checks on ongoing projects to ensure client KPIs, service standards, and contractual deliverables are met.
- Prepare field reports and recommend corrective actions to concerned departments.
- Coordinate with Project Managers and Leads to resolve performance gaps.
Organizational Productivity and Efficiency
- Assess and improve productivity and workflow across departments through process mapping, system improvements, and performance tracking.
- Assist the President in implementing dashboards or reporting tools for operational KPIs.
- Promote interdepartmental collaboration and accountability to improve turnaround time and output quality.
Employee Engagement and Leadership Programs
- Support President-led engagement and leadership development initiatives in coordination with HR and Training.
- Help plan and execute Town Halls, Team Building, and Leadership Summits.
- Monitor participation and effectiveness of engagement programs to ensure alignment with company culture and values.
