BW Epic Kosan owns and operates a fleet of 40 modern and high quality fully pressurised, semi-refrigerated and ethylene capable gas carriers providing seaborne services for the transportation of liquified petroleum gas (LPG), petrochemicals and other speciality gases. We are headquartered in Singapore, with offices in Copenhagen, Manila and Tokyo. Our vessels serve as a crucial link in the international gas supply chains of leading oil majors and commodity trading houses throughout Southeast Asia, the Middle East, Europe, West Africa and the Americas. We employ approximately 1700 seafarers and a multi-national team of 150 shore-based staff.
DESIGNATION : Fleet Systems Specialist
RESPONSIBILITIES
- Primarily responsible for the Crewing ERP business user - shore and offshore support functions for Manila team.
- Consult Crewing team and also liaise with Technical, Marine, HSEQ, Vetting teams towards establishing Crewing ERP needs & Change Requests via business process analysis and consultation for modifications to enhance functionality. Propose the Change Request to Technical Director for approval.
- In charge of the end-to-end Crewing business process efficiency. Evaluate each crewing process by closely understanding the crewing process workflows; evaluate each process and list suggestions on improvement. Collate all suggestions and provide to senior management.
- Manage the integration and implementation of various Crewing ERP modules with the Crewing ERP Vendor and Suppliers IT team for example -
- Flight bookings - Connection to Travel Agencies for seafarer flight booking and quotations.
- Seafarer Mobile app - Manage the implementation of the mobile app
- Consult Manila Finance team for any crew payroll related needs and Change requests to facilitate efficient Crew payroll processes of the Crewing ERP.
- Liaison with all stakeholders - internal departments (Technical / Safety / Crewing / Training / Finance) and external to carry out clarification of the various processes. Finalize the upgrades / new processes in discussion with specific teams and ensure proper approval process and alerts are encoded, workflows and software functionality.
- Liaise with the Crewing ERP vendor to procure quotes for the approved Change Requests and submit to Technical Director for quote approval.
- Liaise within the Fleet Systems team across all geographical locations to work in synergy and collaboration, sharing the overall ERP development and support functions.
- Liaise with the Crewing ERP Vendor, ERP IT and Vessel IT teams to implement Change Request project milestones & timelines, propose infrastructure and resources requirements, provide progress updates to senior management. Ensure proper documentation of the impact of the Change Requests on current ERP processes and creation of training material. Carry out UAT product testing in collaboration with Crewing teams and ERP IT / Vessel IT teams. Effect Go-live rollout across shore and vessels, effect end user training and familiarization. Complement the ERP IT and Vessel IT teams, working closely with both teams to ensure IT platform business user support, systems development, smooth functionality with zero downtime.
- Documenting Crewing ERP Procurement module processes and changes in the Crewing Manual to reflect all the upgraded Business processes using MS Visio to create / modify process flowcharts to in line with ISO requirements for ISO 9001 / / Creating Help files for end-users daily tasks.
- Support the Crewing team on developing business analytical processes and data analysis tools using Power BI as assigned by supervisors and /or Technical Director. Collate end user dashboard requirements, generate wireframes, co-ordinate with PowerBI developers to provide user requirements, review developed product in lines with Requirements documents, UAT and Go-live for handover to end users.
- Crewing process digitization - Review all Manila office work processes to implement end to end digital solutions. A few of the solution implementation are - Online Appointment Management System, Office Queueing system, Online Seafarer recruitment portal, etc interfaced with the Crewing ERP. Work alongside IT team to source vendors to deliver such solutions and implement in the organization.
- Support ERP IT team to perform Crewing ERP diagnostic tests and resolving issues to optimize performance, latency issues, data sync between shore / vessel, and other various troubleshooting.
- Providing support and training to Crewing ERP end-users - ashore and offshore on the Crewing ERP. Collaborate with the L&D team for seafarer training / familiarization courses.
- Responsible for the vessels onboard ship staff familiarization training & subsequent refresher training if required on the ERP Procurement module usage and functionality.
- Carry out ERP usage familiarization briefing and refresher training for all team shore employees.
- Responsible for vessels and shore end-user Crewing ERP support and tickets management. Collaborate with their ERP IT and Vessel IT members for handling all vessel's Crewing ERP Support Tickets, to be assigned and solved in a timely manner.
- Assist and collaborate with ERP IT & Vessel IT teams in User Profiles creation, Technical ERP applications configuration settings, interfacing with other company ERP systems, writing customized programs and scripts.
- Adhering to company policies and industry regulations.
- Keeping abreast of the latest Crewing ERP upgrades and offerings.
- Any other tasks that may be assigned by Supervisors / Technical Director towards ERP projects, development, implementation, user testing across shore and vessel teams.
QUALIFICATIONS
- Bachelor's Degree in IT, Systems Analyst, Computer Science, Software Engineering, Business Studies, or related discipline
- IT driven process-oriented individual with at least 3 years of work experience in ERP support, System Analyst profile
- Ability to handle multiple tasks & requests
- Ability to effectively plan, prioritize, and execute tasks.
- Open and transparent communication style - ability to manage, escalate, resolve project risks and issues.
- Strong interpersonal skills - ability to get along with diverse personalities and culture, tactful, mature, and flexible.
- Self-motivated and self-driven with strong leadership potential. An individual who takes ownership and working proactively with concerned departments, management, and external stakeholders.
- Strong negotiation skills and organizational skills.
- Proven problem-solving and decision-making skills.
- Excellent written and verbal communications skills in English.
- Experience in crewing processes is an advantage but not required.
- Familiar with Crewing ERP - Mariapps is a plus.
