We are seeking candidates with a demonstrated background in similar roles within Singapore-based companies. Immediate availability is a key requirement for this position.

Job Responsibilities:

  • Ensure all vehicle documentation is current (road tax, insurance, VPC, COE, inspection certificates).
  • Conduct daily reviews of OneMotoring and VSIR portals for renewals, inspection notices, and traffic summons.
  • Distribute advance notifications for renewals and accruals with a two-month lead time.

  • Implement and maintain an organized filing system for all vehicle-related documents.

  • Monitor schedules for vehicle servicing, repairs, and mandatory inspections.

  • Liaise with workshops to obtain quotations and schedule appointments.
  • Provide decadal updates on fleet status and associated costs.

  • Facilitate vehicle rental arrangements and de-registration processes as required.

  • Compile and analyze reports on diesel consumption and GPS utilization.

  • Generate comprehensive reports on fleet performance and usage metrics.
  • Maintain detailed records of accidents and manage the corresponding insurance claims process.
  • Administer petty cash and process invoices for fleet expenditures.

  • Arrange flight bookings for drivers as necessary.

  • Process driver information for the handling of traffic summons.

  • Disseminate operational updates and schedules through the designated fleet communication channel (e.g., WhatsApp group).

  • Procure quotations for fleet-related acquisitions and services.

  • Provide administrative support to the director, including form submissions, petty cash management, and reimbursement processing.
  • Execute additional ad-hoc tasks pertinent to fleet operations.

Qualifications:

-At least 2 years of relevant experience in Singapore companies (fleet administration or logistics).

-Strong knowledge of Singapore fleet processes, regulations, and systems (e.g., OneMotoring, VSIR).

-Proficient in Microsoft Office and fleet management software (GPS/FMS).

-Excellent communication and teamwork skills.

-Highly organized and detail-oriented.
